Job description

Duties

  • Manages reception area, to include receiving visitors and incoming phone calls, determines the nature of the call or the business of the visitor and directs the call/visitor as required.
  • Assists management staff on internal organizational processes.
  • Routinely evaluates Division office procedures. Develops and recommends changes, as necessary, to maintain consistency or improve efficiency.
  • Assists with Budget and procurement activities.
  • Maintains the Division Chief's calendar, scheduling appointments and conferences.
  • Assembles and organizes material for Division Chief to use during meetings and speaking engagements.
  • Tracks the status of ongoing tasks, schedules, training and projects.
  • Maintains a filing system of correspondence, reports, and other information in accordance with records management policies.
  • Supports the Division's property accountability to ensure property and equipment are inventories, maintained, repaired, modified, and/or excessed in accordance with policy.
  • Provides a broad range of office automation support to the Division, using a variety of electronic data processing systems.
  • Serves as timekeeper and is responsible for monitoring the time and attendance system.
  • Serves as the travel program point of contact. Plans for travel, arranging schedules of visits, and reservations. Prepares and processes blanket and specific travel authorizations and vouchers and maintains records pertaining to employee's travel activities.
  • Prepares, compiles, and edits correspondence, memoranda, reports, data and forms specific to MSHA administration, office management, and production of technical manuscripts or reports.
  • Prepares, reviews, edits, responses for signatures.
  • Creates and processes requisitions and purchase orders for a variety of supplies, materials, and equipment.

Qualifications

Specialized Experienceis the experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform the duties of the position successfully, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level.

For the GS-07 Grade Level:Applicants must have 52 weeks of specialized experience equivalent to at least the next lower grade level, GS-06, in the Federal service.

Specialized experience must include at least four (4) or more of the following:

  • Responsible for obtaining and distributing office supplies and materials;
  • Develops and prepares a variety of administrative reports and other documents;
  • Review or proofread documents for conformance, format, or grammatical accuracy;
  • Create and maintain records and files;
  • Maintain office support tasks such as office calendar, scheduling appointments, coordinating travel, or managing time and attendance records;
  • Communicate with customers through a variety of contact methods (e.g., email, telephone, in-person, web form inquiries).


Note: There is no education substitution for experience at the GS-07 level.
In addition to meeting the specialized experience requirements, you must have a typing proficiency of 40 words per minute based on a 5-minute sample with three or fewer errors. You must have a certificate of proficiency from an organization authorized to issue such certificates or self-certify your proficiency.
