JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Pennsylvania State University Harrisburg campus is seeking a candidate for an Administrative Support Assistant. The School of Business Administration is looking for an energetic, highly motivated, and experienced individual on our team.
Job Responsibilities:
- Manage and direct all administrative aspects in support of the MBA and MSIS graduate programs and Supply Chain certificate.
- Responsible for all administrative aspects of support and guidance for students in the MBA and MSIS graduate and IUG programs from initial application and enrollment through their tenure and graduation.
- Assure department and university requirements for degree completion are met.
- Coordinate; analyze, compile and submit reports, plan graduate student orientation, and student evaluations; track and record SARI training.
- Coordinate graduate student candidate visits.
- Process graduate assistantships and additional scholarships; and support the graduate student admissions programs.
- This position's duties include three main areas: graduate student support, faculty support, and staff support.
- Responsible for all day-to-day administrative tasks for the MBA and MSIS programs.
- Maintain student files, compose professional correspondence, maintain calendars, scheduling meetings and conference calls.
- This position acts as a liaison between the Registrar, the Office of Graduate Admissions at Penn State Harrisburg, the Office of Graduate Admissions at University Park, and the Office of Enrollment Services at University Park for MBA, MSIS, and Supply Chain certificate students.
Additional job responsibilities:
- Compile and prepare all MBA, MSIS, IUG, JD/MBA graduate applications and Supply Chain certificate applications for the Director's review.
- Evaluates and research candidates' transcripts from other institutions.
- Frequently researching international institutions' grading scales and degree programs to accurately assess the qualifications of candidates.
- Assists students with the process of Resume Study, Change of Major, and Non-degree status within Graduate School.
- Coordinates directly with Dickinson School of Law regarding joint admissions, course substitutions, course recommendations, and graduation requirements.
- Provides insight on university academic deadlines, graduate policies and procedures, MBA, MSIS, and IUG prerequisites, admission criteria, standardized testing, and provisional admission options to graduate faculty in the SBA.
- Works collaboratively with other offices on multiple campuses on behalf of SBA graduate students.
- Point of contact for SBA faculty, staff, and students regarding requests for social media and Marketing and Communications stories/articles.
- Submits stories to Marketing Office, liaison between Marketing and SBA.
- Works closely with GA to maintain the SBA social media platforms.
- Works closely with the Office of Graduate Enrollments regarding SARI requirements, graduation requirements, graduation approvals, student petitions, Concurrent program requests, and updates, joint program requests, memos of support, Provisional status, standardized testing requirements, and any process requiring Graduate School approval.
- Assists students with submitting their intent to graduate, assessing that they've met their individual program requirements. Evaluate and determine whether each student's course history meets Graduate School requirements and initiates the process to approve graduation status as well as ensure that program directors approve graduation status within deadlines.
Education & Experience:
- This position typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience.
- Experienced in organizational, multitasking, and prioritization skills.
- Excellent verbal and written communication is essential in this position.
- Experience with the GRADs and GRMS systems, also highly knowledgeable in LionPath, PSU Concur, Adobe Pro, One Drive, and Microsoft Office.
- Demonstrates professionalism with a high commitment to customer service; interpersonal/communication skills, organizational skills with attention to detail and accuracy; ability to manage and prioritize tasks with minimal direction; and exercise discretion and judgment while managing confidential information.
