Public Health- Seattle & King County has an opening for an Administrative Specialist II (ASII). Come join a vibrant, multi-disciplinary team on-site at North Public Health at Meridian Centerfor Health and help us to deliver health services to some of the most vulnerable and marginalized people in north King County!

This is a Term-Limited Temporary opportunity. Term-Limited Temporary positions are "at-will" positions but are eligible for benefits. This TLT is currently anticipated to last for twelve (12) months. However, funding sources for this work remain uncertain and dependent upon decisions actively being made at both the federal and local levels. As a result, the end date of this position may be adjusted based on those decisions. The County and the Department continue to work to secure long term funding sources.
This vacancy can also be filled as a Special Duty opportunity.

For Special Duty Assignment interest, you must be a Career Service, Career Service Exempt or other regular (non-temporary) employee in King County who has completed their initial County probation. You must have supervisor approval prior to taking a Special Duty Assignment.
The First Steps (Maternity Support Services/Infant Case Management) program is seeking an Administrative Specialist II to join the North Public Health team. The ASII supports a broad range of services in our Public Health center.
The First Steps program provides services to families during pregnancy, infancy, and early childhood. The services are provided by a team of Dietitians, Public Health Nurses, Community Health Workers, and Social Workers. The program provides nutrition education, case management, referrals, and service linkages to some of our most vulnerable populations to improve pregnancy, birth, and early childhood health outcomes.
Our clients are culturally, socially, and linguistically diverse. Applicants should be committed to working with diverse populations to provide excellent customer service to people from a broad range of cultures, communities, backgrounds, and experiences, including people experiencing homelessness and mental illness. This position supports and advances the Community Health Services Division's values for fair and equitable service delivery, innovative, effective, and efficient application of resources, building a culture of performance, expanding opportunities to seek input, listen, and respond to clients.
The successful candidate will exhibit excellent customer service skills, the ability to develop, and maintain positive relationships with our clients from various cultures and communicate effectively with limited English proficient (LEP) clients with the assistance of an interpreter. The candidate will also exhibit flexibility in managing multiple tasks while covering the front desk.

Work Location:


The primary work location will be the North Public Health at Meridian Centerfor Health located at 10521 Meridian Ave N, Seattle WA 98198. The ASII may also periodically assist in providing Administrative Specialist support services for other Public Health center sites, when assigned by supervisor and to cover staffing shortages at other Public Health locations. The candidate may work at various King County Public Health Centers and satellite offices based on business need. The candidate must have the ability to travel to sites throughout King County.

Work Schedule:

This is a full-time, onsite, opportunity. Workdays and hours will vary based on business needs. Currently 8:00-5:00 Monday - Friday with some Saturdays or evening hours to meet client/business needs.
  • Welcoming all clients, providing exceptional customer service, which includes treating all people with respect and warmth
  • Utilizing language interpreters when appropriate to meet clients' needs
  • Identifying when triage by a healthcare professional is necessary, and quickly identifying potential emergency situations
  • Registering clients, requesting financial and insurance information, verifying insurance coverage, calculating fees, collecting payments, and scheduling appointments
  • Scheduling and arriving clients in the electronic health record; problem-solving around coverage issues which may impact billing.
  • Coordinating patient and information flow while maintaining patient confidentiality, and complying with Federal HIPAA laws
  • During and after client visits, responsibilities include:
    1. accurately completing documentation and data information for billing in a timely fashion
    2. processing referrals for field staff
  • Making appointment reminder and outreach phone calls, making copies, faxing, and other general office and clerical duties
  • Cross-training to help support other site programs and site responsibilities during staffing shortages.
  • Other duties include using a variety of computer programs including:
    1. Epic (an electronic health record program)
    2. Microsoft Office products

  • Commit to providing exceptional customer service with compassion and patience, are approachable, are effective listeners, and will enjoy working with people from a variety of cultures, communities, backgrounds and experiences
  • Are computer-savvy and able to learn to use new computer programs and technical tools quickly
  • Are action-oriented and able to quickly prioritize, use time effectively and efficiently, are skilled at identifying and eliminating barriers, and are willing to ask for help to accomplish tasks
  • Enjoy working with a team, are cooperative, encourage collaboration, and can work with teammates to find collectively beneficial solutions
  • Maintain confidentiality of client information
  • Know their strengths and weaknesses, seek feedback, will admit their mistakes, and quickly learn from them
  • Can maintain their composure under pressure
  • Are committed to working with diverse populations with cultural humility
  • Able to move up to 25 pounds in order to move boxes, retrieve health records, or replenish office supplies without reasonable accommodation

Other Requirements:
  • Washington State Driver's License
  • Ability to travel within the designated territory
Desired Qualifications:
  • Two or more years of experience working in a healthcare environment.
  • Experience with EPIC or other electronic health records system
  • Bilingual and/or bicultural, English/Spanish or other language commonly spoken by our clients.
