Job Title: Administrative Specialist - Housing
Department: Housing
Classification: Non-Exempt

Hiring Range: $21.59/hr. - $24.29/hr.

Salary Range: $21.59/hr. - $32.39/hr.
Position Summary: Performs administrative, technical, and clerical duties to support the Aspen Pitkin County Housing Authority (APCHA) and the Executive Director, consistent with the organization's values and mission statement.
Supervision Exercised and Received: Position works under the direct supervision of the Deputy Director with frequent oversight from the Executive Director.

Essential Job Functions:
Administrative and Operational Support
In support of the APCHA administrative function, this position performs a variety of intermediate to advanced administrative level functions, including - but not limited to - purchasing and inventory, meeting notes/minutes and presentation packets, proof reading and assistance with composing memos and other written communication, creation of presentations on behalf of management, website content maintenance and management, APCHA record management, assists with APCHA's budget and performs basic bookkeeping functions, and administers APCHA's Goals and Outcomes measures program.
In support of the APCHA operational function, this position performs a variety of operational functions, including - but not limited to - the initial screening of workforce housing applications for Qualifications Specialist and Sales Manager, maintains and updates program occupant and unit information in APCHA database, collects and assists with APCHA purchase bid submittals, and provides additional support in sales.
Rent payment and processing fees. Including weekly reports that are accurate, balanced and provided to Finance, the PM, and the Deputy Director.
Customer Support and Service
In support of APCHA customer service, this position acts as the point of contact for customer service requests. Customer service functions include - but are not limited to - assisting customers with basic application, qualification, and compliance questions and transactions; collecting and reconciling payments and fees received by customers; answering the phone and responding to emails.
Responsible for Help Desk for HomeTrek (assisting customers with any questions relating to HomeTrek).

Administrative Expertise: Knowledge of administrative and clerical procedures and systems such as word processing, records management, database administration, website content management, and other office processes and procedures.

Minimum Requirements:
Education: High School diploma or GED equivalent.
Experience: Two years of administrative or reception experience.
Technical Knowledge: Must be knowledgeable and proficient in Microsoft Excel, Word, Outlook (Email), PowerPoint, and other basic computer applications. Must have a basic understanding of computers and online computer-based technology applications, which includes accessing web-based platforms.
Licences & Certifications: Microsoft License or certification a plus. Must possess a valid Colorado Driver's License or be able to attain one within 30 days of start date.
NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge, and skills as determined by the City of Aspen may be substituted for the requirements above.
Preferred Candidate: Experience and proficiency in Microsoft Access database management a plus.
NOTE: This position requires a Criminal Background Check upon hire. Employment is contingent upon successful completion of a Criminal Background Check.
Position Type and Work Hours:
Regular full time, hours may vary with workload.
