Overview

We are seeking a highly motivated, innovative, enthusiastic and inclusive staff member to join our Operations Division as a Senior Administrative Specialist!

This Senior Administrative Specialist position supports our Imaging and Document Management/Content Management Team by providing training, indirect supervision, and program area expertise as well as ensuring quality assurance/quality control of images and indexes.

Responsibilities

Specifically, this position:

  • Provides lead accountability for other employees within work unit, which may include scheduling, assigning, and reviewing work, instructing/training in work methods, and providing input into hiring and performance evaluation processes.
  • Acts as a resource or expert in program area, providing technical guidance to less experienced staff.
  • Exercises indirect supervision of Records Management technicians, temporary staff or volunteers.
  • Receives departmental documentation for scanning production and inputs documentation into the imaging or content management system by scanning and indexing.
  • Performs special studies and projects as assigned and required.
  • Coordinates and administers general administrative programs for the department; acts as main informational contact; ensures appropriate procedures are followed; makes recommendations for modifications to procedures for improved efficiency and operations.
  • Enters data into and maintains computer systems or databases; proofs data entry and corrects errors; runs standard and ad hoc reports as required; may act as computer liaison with other agencies and departments.
  • Performs data entry of a variety of index fields associated with each document class type.
  • Ensures documents are clear and indexed properly by performing standard quality assurance and quality control processes for scanning and indexing.
  • Maintains records of production activity by; document type, record series, and/or equipment reading and work logs.
  • Processes record requests from public and internal/external agencies.
  • Assists with record retention standards and preparation of documents for imaging.
  • Explains and assists departmental liaisons with preparation of necessary documentation to submit for a content management project.
  • Attends internal or divisional staff meetings.
  • Enters cases into Records Management system and generates documentation.

Qualifications

All candidates will be screened for the following required minimum qualifications. Any candidate who does not meet all of the qualifications listed as required will be eliminated from the process.

  • Four (4) years of experience in a directly related field or in the performance of similar office administrative duties and responsibilities required.

Supplemental Information

The typical schedule will be Monday through Friday from 8:00am to 5:00pm.

This is a hybrid position and will require at least one day/week in the office. You will be required to have adequate internet access and space for remote work. Larimer County provides an annual remote work stipend to assist with equipment and office supply needs for remote workspaces.

In office work will be located at one of the following three locations: 1501 Blue Spruce Drive, Fort Collins, CO 2555 Midpoint Drive, Fort Collins, CO 200 Peridot Avenue, Loveland, CO

An offer of employment is contingent upon the successful completion of required pre-employment testing. Depending on the position, these checks may include, but are not limited to; reference checks, motor vehicle reports, employment verification, education verification, fingerprinting, criminal history information, physical, and a drug screening.
