Job DescriptionWestminster-Canterbury on Chesapeake Bay is currently hiring a Full Time Administrative Specialist that would report to the Vice President of Development & Marketing • W-C Foundation & VP of Campus Operations.

WHAT YOU WILL DO:
The Administrative Specialist assists the organization and specifically the VP of Campus Operations in all administrative, financial reporting, communication and time management aspects. To lead and coordinate various aspects of data collection, analysis, and presentation in line with regulatory requirements. Represent the leadership team with enthusiasm and support for all business lines.
- Plan, execute, and take minutes for all Board Meetings and Committees related to the Vice President of Development & Marketing and the Vice President and Executive Director of Campus Operations.
- Plan, execute, and take questions for all Resident and Team Member Town Halls.
- Acts as the first point of contact for the VPs in regards to incoming calls and visitors.
- Coordinates and assists departmental management with meeting deadlines, dated tasks, and department related responsibilities.
- Provides assistance with the coordination, set-up, and take-down of all interdepartmental meetings
- Maintains daily calendar for The Vice President and Executive Director of Campus Operations.
- Responsible for typing/preparing all correspondence, spreadsheets and records as required, and responsible for the distribution of these items.
- Represents the VPs at specified meetings and in selected teams and groups.
- Leads and coordinates projects as assigned
- Participates in daily, weekly and end-of-month accounting procedures keeping current with policies and procedures.
- Accountable for creating and maintaining Metric Dashboards.
- Point of contact for Business Licenses, State Survey Information, and Application Renewal for Enhanced Services
- Completes audits for systems, process, and product. Reviews audits and assures the implementation and completion of action plans.
- Implements and monitors quality policies/procedures.
- Assists in researching best practices and creates benchmarks for analytical comparisons
- Research and take on a consulting/stakeholder role for projects related to overall business operations.
- All other duties as assigned.
WHAT YOU WILL NEED TO BE SUCCESSFUL:
- Bachelor’s Degree in Business, Marketing or Health Administration preferred.
- Ability to offer direction to others
- General knowledge of accounting practices, budgets and procedures preferred.
- Master multiple interfaces and digital programs to gather data to create metric dashboards.
- Must be proficient in the use of many technological platforms including Microsoft Suite and Google Suite.
- Ability to multi-task along with excellent organization. Must have patience, tact, enthusiasm, and a positive attitude toward the elderly. Must be able to maintain positive and professional relationships and interactions with residents and staff.
- General knowledge of food safety and sanitation procedures and practices.
- Neat, clean, and professional appearance.
- Ability to effectively communicate.

Walking, reaching, bending, lifting of 15-45 lbs.
