Administrative Specialist

The Administrative Specialist is primarily responsible for providing administrative, training event and general office support. The Administrative Specialist will also effectively present information in one-on-one and small group situations. Maintains and demonstrates a working knowledge of current systems and policies for purposes of supporting staff. Schedule and coordinate internal and external meetings directed by management. The Administrative Specialist is knowledgeable about all services the Agency provides.
Administrative Specialist Responsibilities:
· Maintain database, using Excel, Microix, and Word in a timely manner and assist with data entry
· Understand all CalAIM billing (e.g., codes, etc.) and administrative documentation requirements
· Provide copying, scanning, typing, and word-processing support as needed
· Read and respond to emails within 24 hours (Monday through Friday)
· Monitor EDE email and distribute incoming emails to appropriate staff
· Process and maintain Agency files in accordance with Agency policies and procedures
· Assist in ongoing training of administrative support staff
· Manage new staff orientation scheduling and coordination
· Upload documents/videos/information into appropriate sites (Livebinder, Vimeo, etc.)
· Maintain and demonstrate a working knowledge of current systems and policies for purposes of supporting staff
· Schedule and coordinate internal and external meetings directed by management
· Knowledgeable about all services the Agency provides
Administrative Specialist Minimum Qualifications:
· Ability to read, comprehend and prepare simple instructions, short correspondence, and memos
· Effectively organize and manage multiple priorities
· Strong customer service, attention to detail, dependable and reliable
· Excellent interpersonal communication and problem-solving skills
· Proficient using Microsoft Office Suite, Video platforms (e.g., Teams) and other Microsoft programs
· Bilingual in Spanish, both oral and written, strongly preferred
