- Competent in scheduling meetings, booking conference rooms, ordering food/drink, and managing the visitor process. May attend meetings to assist with presenting materials and/or taking notes.
- Arranges domestic and international business travel and prepares travel itinerary. Books flights, cars, makes hotel and restaurant reservations. Completes expense reports for self and others and submits on behalf of leader and/or team.
- Continuous improvement within work processes and systems. Finds ways to improve project/team efficiency.
- Pay invoices and create capital projects in SAP.
- Maintain internal file/document storage, distribution lists and organizational chart.
- Support recruiting focal point with scheduling, travel, and reimbursement of candidates.
- On-boarding new hires, setup office space order hardware, peripherals, and office phone.
- Manage communications within the department as requested by leaders. Prepare meeting agendas and assemble presentations and logistics for the department meetings.
- Manage logistics for customer meetings, hotel, food, agenda, conference room.
- Acts as the department focal point with external vendors, contractors, or service providers. Work within policy to escort external visitors throughout site.
- Prepare visitor passes including foreign nationals for both employees and non-employees visiting Collegeville.
- Voluntarily communicates needs and suggestions clearly and effectively to other employees. Listens carefully and attentively to others. Works to build effective relationships. Keeps others informed of the status of assigned work. Teamwork-oriented with desire for continuous learning.
- A minimum of a High School diploma or equivalent is required.
- A minimum of three years of relevant experience ( i.e.- in a professional business role, such as administrative assistant, project coordinator, event coordinator, project management, administrative role within the military, or similar type role.)
- Prior Experience with all Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
- A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.
- Experience with the following: SAP, Workday, Ariba, Concur.
