Who Your Are
This is a very special role for a motivated self-starter to work alongside a dynamic CEO and The Director of People Operations. We are looking for someone who is efficient, sophisticated, eloquent and can handle demanding deadlines with grace.
You will be expected to communicate effectively with external partners and key stakeholders as you seamlessly organize meeting schedules, travel plans, and other important company initiatives. Your professionalism, discretion, and high standards of work will be integral to your success in this exciting, high-level support role. This is a full time on-site position.
Essential Functions:
- Maintain a professional office environment and promote a positive image for the company
- Strong customer focus and a “Whatever it takes” attitude!
- Greet and screen incoming visitors/customers in a professional manner and promptly notify the appropriate person of their arrival.
- This position requires strict confidentiality. This position will have access to sensitive company records.
- Generate correspondence and letters with little or no direction.
- Coordinate Company meetings, Special Events, Holiday parties, participate in administrative staff meetings, and attend other meetings as needed.
- Must have Project Management/Project Management software experience (Preferred Citrix Podio)
- Prepare meeting materials and take meeting minutes.
- Will screen calls and take accurate messages.
- Must be very well versed in Microsoft Outlook to effectively manage the CEO's calendar.
- Must be able to make and create extensive travel arrangements along with detailed itineraries
- Manage company CRM (Customer Relationship Management database) by assuring information is up to date and accurate.
- Perform other related personal duties as required by the CEO, including by not limited to automobile runs for banking, personal meals and incidentals and other company related business as required.
Recruiting Responsibilities
- Maintain Indeed , UKG (ATS) as well as other recruiting/sourcing platforms in real time at completion of interviews
- Maintain ATS by evaluating candidate qualifications against position requirements and determine who to move forward in the recruitment process
- Schedules and manages all interviews on various recruiting platforms
- Obtains interview notes from hiring managers and dispositions candidates accordingly in ATS
- Creating and publishing job postings by working with hiring managers to develop effective and compelling job descriptions.
- Attends college and high school job fairs
- Partner with the Director of People Operations regarding various initiatives, including employment branding, summer internship program, recruitment open houses.
- Source candidates on job boards, resume databases, professional networks and external/internal referrals.
- Draft and utilize phone interview templates appropriate to the job description.
- Interview candidates at various stages of the hiring process (phone screening calls, video interviews and in-person meetings).
- Issue skills testing as needed and evaluate results (if process dictates).
- Review background and reference information (if process dictates).
- Ensure candidates are provided with timely updates concerning the status of their applications and interviews.
- Work to deliver a strong candidate slate, continuously building talent pipelines to ensure there are multiple qualified candidates in play at all times.
- Provide accurate and regular reporting of recruiting activities to the hiring leader and leadership to depict both metrics and efforts.
- Proactively and regularly communicate the status of each search to hiring managers and recruiting team, providing a consultative approach with recommendations on how to move forward.
Education and Experience:
- Bachelor's degree required in Business Administration or similar concentration
- Five (5) + years in an "hands-on" personal and administrative capacity with C-Suite Executives
- Advanced computer proficiency
- Expert working knowledge of Microsoft Office Suite
- Expert working knowledge of Adobe
- Self -Starter
- Extremely organized with an emphasis on attention to detail
- Ability to work well either independently or as part of a team
- Must be able to work in a fast paced environment
- Proven ability to consistently and positively contribute in high-paced and changing environment
Skills and Competencies:
- Strong knowledge of Ultimate Software (UKG) Recruiting Platform, LinkedIn Recruiter Seat, and Indeed Recruiting Platform
- Certification or specialized training in recruiting and interviewing.
- High volume recruitment experience specifically in the manufacturing/production industry is preferred.
