About the Position
The Administrative Program Manager responsible for overseeing the all of the executive management administrative duties along with oversight of the Domestic Violence and American Rescue Programs, along with managing assigned staff. The successful candidate will participate in meetings and trainings, provide guidance and mentorship to staff, ensure compliance with quality assurance, and develop/facilitate trainings. The position also involves reviewing productivity and billing reports, providing crisis management and consultation, conducting staff meetings and supervision, and executive administrative management.
JOB SUMMARY:
The Administrative Program Manager is responsible for managing the day-to-day operations of DVSS/ARP service delivery requirements and support the administrative executive staff this includes: supervision of assigned staff, client tracking enrollment/discharges, communication with LA County Departments, review productivity/billing requirements, quality assurance of client documentation, conduct weekly staff meetings, over see the executive administrative staff calendars, complete any executive administrative tasks, attend various meetings, etc.
SPECIFIC JOB DUTIES:
- Responsible for managing program, assigned staff and coordination of day-to-day operations of DVSS and ARP Program according to “PIC” and outside regulatory bodies service delivery requirements.
- Complete tasks for the executive administrative staff as needed. Coordinate calendars, attend meetings, complete administrative tasks, etc.
- Participates in all SPA meetings and any other state or county trainings and meetings required for the role Middle Management Meeting) indicated by the Executive Management team, the Director and Leadership Team
- Plan, assign, and manage work assignments of staff, work with supervisory staff on job performance evaluations, training, coaching, disciplinary actions, time/attendance, interviewing applicants, addressing client concerns and responding accordingly, etc.
- Provides coaching, and mentorship and be readily available to support staff
- Ensure all program services are in compliance with quality assurance, contractual requirements, enrollment & discharge of clients, provision of care, client records, training of staff, etc.
- Responsible for providing coverage to provide crisis management and consultation to staff along with other supervisory staff as required; may be required to assist field base staff coverage as needed.
- Review weekly productivity and monthly billing reports of staff; communicate with Program Director and Executive Management team as appropriate.
- Develop and facilitate trainings including but not limited to interventions/best practices, self-care, service management, compassion fatigue/vicarious trauma, Core Practice Model, Time manages, outreach and engagement strategies, etc.
- ENVIRONMENTAL/WORKING CONDITIONS: Primarily Office-based, at times attending events and meetings in the schools or at DMH or DCFS office locations
- Ensures service quality and customer satisfaction meets agency and best practice standards
- Ensures that supervisees demonstrate adherence to Personal Involvement Center and any contractually required note and form submission standards
- Provide consultation and mentoring to staff on how to articulate the context for providing needs of the families involved in program the DVSS/ARP programs.
- Conduct weekly staff meetings, individual/group supervision to staff, etc.
- Participate in new staff orientation and training, etc.
- May be required to attend program and community-based meetings per Program Director or Executive Management request.
- Assist in other duties as deemed necessary.
JOB QUALIFICATIONS/REQUIREMENTS:
- Master’s Degree in a Behavioral Science or Human Services preferred.
- At least 3 years’ experience in LA County Programs preferably as Team Leader; or similar program supervisory experience in a social services agency preferred.
- Must be able to sit for long periods of time.
- Must be able to lift 20 pounds.
- Excellent verbal and written communication skills.
- The ability to work with all levels of management and outside contractual associates.
- Must be able to meet deadlines, complete work assignments with a sense of urgency.
- Must be able to use personal vehicle to travel to each PIC site and outside meetings while maintaining vehicle insurance requirements.
- Must have a valid driver's license.
- Must be able to work in the office 3 days of the week.
