Administrative Coordinator, Brand Communications

Westwood Professional Services, Inc. is seeking a Brand Communication Coordinator to join our team in our Minnetonka, MN office. Westwood has a highly experienced and dynamic team of individuals dedicated to providing high-level professional services to our clients.
Brand Communications Overview
The Brand Communications group provides oversight and support for Westwood’s brand, corporate marketing, traditional/digital, internal, and external communications. The group serves the organization to enhance messaging, brand, and overall marketing and communications activities while creating alignment with Westwood’s mission, vision, values, and strategic business objectives. This position reports to the Director of Brand and Creative Services and serves the organization with solutions that promote the alignment and consistency of Westwood’s brand image and message.
As a highly motivated individual who thrives in a fast-paced environment, you will support the Brand Communications team with administrative and organizational skills as well as a wide variety of tasks that tap into your written and creative talent. Your strong attention to detail will help keep projects moving forward and drive success across the team. In this role, you will apply your expertise to a variety of administrative tasks as they relate to Westwood’s brand, internal and external communications, and employee engagement, including content support, vendor management, expense management, office branding, events, research, and more. Your strong written and verbal communication skills will also be put to good use as you support Westwood to ensure consistency and alignment to Westwood’s brand and culture. Vendor Management and Company Administration Tasks
• Owns and manages company merch online storefront, inventory, new product coordination, and processes in collaboration with the Company Store, internal teams, and other promo vendors
• Coordinates office branding projects for new buildouts or mergers and acquisitions by managing vendors, install timelines, furniture orders, and other project components
• Assist in coordinating companywide events as needed
• Coordinates photography for portraits, projects, and people across offices
• Manages team billing and invoicing for vendor payments, bank statements, and other needs
• Assists with reports, meetings, and scheduling
• Works closely with Office Admin/Managers team to support projects, events, process improvements, training, and more
Internal/External Marketing/Communications Support
• Learns internal and external communications technology and channels to assist with content creation, promotion, training, scheduling, and organization
• Proofreading, writing, or editing content if needed
• Assists with event management, including promotional materials orders
• Contributes to establishing, implementing, and maintaining standards, processes, and policies
• Updates/creates documents as needed
• Degree in business, administration, marketing, communications, or other related field, or a minimum of two years related experience
• Excellent organization, writing, and oral communication skills
• Collaborative attitude and a propensity for teamwork
• Proven ability to meet and/or exceed deadlines and handle multiple projects with a quick turnaround and/or last-minute timelines
• Skilled in Microsoft Office and Google applications
• Experience in Adobe Creative Suites and Canva is a plus
• Ability to travel 5-10% to other locations for office branding/interior design oversight
