Role Summary
We are looking for an experienced and competent administrative assistant with accounting and/or bookkeeping experience. Candidates should be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, and e-mail, and generally being a helpful and positive presence in the workplace. The ideal candidate for this job should have a genuine desire to meet the needs of others, be resourceful, a good problem solver and be organized. Duties and responsibilities include: 1. supporting the President and helping to keep him organized and on track, 2. Supporting the VP of Sales with back-office tasks, 3. keeping accounting and expense tracking up to date and timely, 4. office supplies and equipment to ensure seamless office operations, and 5. handling new and different tasks that support the company’s goals on a daily basis.
Job Duties
· Assist President with daily tasks, emails, scheduling, HR, and anything else that may come up
· Support VP of Sales with order entry and dealer support
· Serve as level 1 customer phone, email, and chat support
· Anticipate the needs of others to help them meet and exceed their goals, and in turn, the company’s goals
· Quickbooks: Prepare and send invoices, track and manage A/R & A/P, reconcile accounts monthly, make monthly sales tax payments, prepare monthly accounting reports
· Handle general office tasks, such as filing, generating reports, scheduling and setting up for meetings
· Monitor company email and other communication systems to ensure fast responses to internal and external stakeholders and communicate in a polite and professional manner
· Maintain facilities and office supplies by monitoring inventory levels, scheduling service, ordering supplies, and keeping common spaces clean and organized
· Accomplish company goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments; making recommendations to management.
· Protect organization's value by keeping information confidential.
· Write letters and emails on behalf of other office staff
· Take accurate minutes of meetings

Compensation & Benefits:
The Administrative Assistant position is compensated with a competitive hourly wage, health, dental, and vision insurance options, and retirement savings options.
