We are in search of an Administrative Assistant to join our team and help support the AMHI Leadership Team. The Administrative Assistant willwork closely with others to organize files, create correspondence, prepare reports and documents, manage calendars and email, and enhance communication.
ESSENTIAL FUNCTIONS
- Ability to provide clerical support to multiple executives and leaders, establish priorities and completes routine duties as well as special projects.
- Establish and maintain electronic and paper filing systems. Scan and/or file documents into appropriate locations.
- Create professional documents using Microsoft Office Suite (Word, Excel, PowerPoint)
- Gather information and documents from multiple sources; prepares meeting agendas and power point presentations.
- Support the CEO with managing calendar and email; schedule meetings, manage outlook, screen and prioritize email; and create draft emails.
- Make arrangements for group events or meetings, locate and reserve meeting rooms, make meal arrangements, set up space, coordinate attendance, and other related items.
- Assist leaders with travel arrangements and hotel accommodations, provide itineraries and coordinates meeting sites, attendees, and other needed items.
- Disseminate and collect paper or electronic documents. Assist with completing routine documents as instructed.
- Sort incoming mail and processes outgoing mail; is primary contact for mail meter/machine.
- Order and maintain office supplies.
- Efficiently operates large printers/copiers/scanners; is able to troubleshoot basic error messages and submits IT support tickets as needed.
- Support activities such as benefit renewal, quality audits, financial audits, and other needs.
- Help update and maintain communication bulletin boards with current information, including quality, safety, employment, and general information.
- Enter information into spreadsheets or databases and ensure accuracy of information.
- Perform audits, match and enter information into ERP to assure accuracy of Bill of Materials; reference prints and coordinates changes with Engineering, Warehouse, Procurement, or others.
- Maintains confidentiality of information and data.
- Participate in the Employee Activity Team, coordinate lunches and special events; may partner with community team members on organizing events.
- Understands and adheres to Quality & Compliance policies and procedures.
- Follows safety procedures and maintains a clean and safe work environment.
- Utilizes appropriate personal protective equipment where/when necessary.
- Contributes to a respectful, non-hostile, non-violent work environment.
- Understands the purpose, value, and impact work has on product customers and users.
- Other duties as assigned.
