Job Duties:
- Serves as timekeeper for two divisions. Enters, maintains, and edits employees’ time and attendance records in the automated payroll system. Ensures account numbers are accurate.
- Coordinates travel arrangements for two divisional staffs. Ensures arrangements meet all travel needs. Provides detailed itinerary. Obtains required approvals and prepares travel authorizations and vouchers in accordance with standards, guidelines, and policies. Examines vouchers for accuracy and routes for approval. Establishes and maintains travel files.
- Serves as the two divisions office receptionist. Receives and directs all telephone and in-person inquiries. Addresses non-technical questions. Maintains professional demeanor in all communications and appearance.
- Schedules appointments and meetings for the two Division Chiefs.
- Coordinates and schedules Divisional meetings and presentations.
- Maintains and updates equipment inventory with approval from the Administrative Officer as required.
- Completes all work within required timelines and meets deadlines.
Education and Experience:
- Minimum Education: High School Diploma or equivalent
- Minimum Experience: 3 years general office experience.
- Proficient with computers and Microsoft Office
- Proficient in data entry
- Team worker with excellent interpersonal communication skills
