The Executive Assistant will provide administrative and project support to the General Manager. Within mutually agreed upon and established guidelines, the Executive Assistant will make independent decisions regarding planning, organizing, work scheduling and other details. Additionally, the successful candidate must handle highly confidential materials and matters in a manner becoming of the position.
This position is responsible for supporting the business needs of the General Manager as well as answering and routing incoming calls, greeting and directing vendors and customers and performing a variety of other duties as assigned. Excellent communication and interpersonal skills are required. Strong computer skills will also be required. Experience with accounting concepts and processes are highly desired. The ability to multitask while maintaining superior customer service skills is paramount.
Main Duties & Responsibilities
- Act as the Leadership representative to a variety of communication from customers, investors, media, corporate and others. The assistant will often be the first impression outsiders have of the company and the executive and must be prepared to present him or herself accordingly.
- Work effectively with Corporate administrative support team regarding executive travel, corporate calendar, events and meeting.
- Frequent coordination and support of teleconferencing and videoconferencing will be required.
- Manage GM's calendar and travel. The Administrative Assistant will also plan, arrange and schedule Companywide events, conferences, large group meetings and appointments. He or she will notify attendees and makes necessary meeting planning arrangements.
- Serve as a liaison for all levels of the organization to ensure a smooth flow of information and events between GM and the rest of the organization.
- Compile information for inclusion in reports or presentation materials. Effectively prepare complex PowerPoint presentations, including charts, graphs and tables as necessary. Receive and respond to correspondence, following established procedures and without management review. Responsible for accuracy and appearance of final documents.
- Compose, prepare and drafts, articles, reports, proposals, charts, and a variety of correspondence using appropriate PC-based software packages for word processing, presentation, database, and spreadsheet applications. Proofread and edit drafts and final materials for appropriate and consistent content, format and corrects punctuation, spelling and grammar.
- Manages administrative projects including coordinating and/or tracking budgets, invoices, expenses, generating reports and identifying variances.
- Act as backup receptionist as needed.
- All other duties as assigned.
Required Qualifications:
- A minimum of 2 years administrative experience.
- Ability to handle highly confidential information with discretion.
- The successful candidate will possess excellent PC skills, including MS office (Word, Excel, Access and PowerPoint) and Microsoft Outlook.
Preferred Knowledge, Skills and Abilities:
- A Bachelor's degree is preferred.
- The successful candidate will be detail oriented, organized, teams well with others and has a natural curiosity to learn about company operations, organizational procedures and business vocabulary. Must be a self-starter and should have the proven ability to work in a team environment as well as independently.
- Excellent interpersonal, organizational, multi-tasking and verbal and written communication skills are required. The successful candidate must have a strong personal desire to deliver excellent customer service to superiors, subordinates as well as internal and external customers. He or she must demonstrate flexibility, initiative, good judgment, resourcefulness, a sense of urgency and professionalism in dealing with confidential information.
- The Administrative Assistant must possess a desire to continue improving his or her skills, embrace organizational change and be willing to support the philosophy.
Salary: The compensation for this position is $23.00-28.00 hourly. Pay is based on several factors including but not limited to education, work experience, certifications, etc.
