SUMMARY:
Call to Freedom is committed to identifying and responding to the needs of individuals at-risk of or involved in human trafficking and exploitation. The Administrative Assistant is responsible for carrying out the facilitation and organization of activities to ensure the organization runs efficiently and effectively. The Administrative Assistant’s purpose is to coordinate the tasks involved with the overall operations of the agency, assist with technology coordination, and support and assist with other administrative duties related to operations, finance, and human resources.
REQUIRED EDUCATION AND/OR EXPERIENCE:
- 2+ years of experience in office operations, human resources, or related field desired.
- Knowledge of non-profit agency practices and operations desired.
- Excellent verbal and written communication skills. Flexible, self-directed, and responsive.
- Understanding of healthy physical, emotional, and spiritual boundaries.
- Excellent organizational skills.
- Good analytical/critical thinking.
- Full time 40 hours/week.
- Proficient in Word, Excel, and Adobe. Proficient in Canva preferred but not required.
CERTIFICATION, LICENSURE AND/OR REGISTRATIONS: High school Diploma
ESSENTIAL FUNCTIONS AND JOB DUTIES:
- Assist the Director of Finance with monthly reports in preparation for grant drawdown which includes mailing weekly checks, scanning and combining invoices and expense reports, data entry, and downloading and combining payroll reports.
- Monthly office credit card reconciliation.
- Assist with daily operational activities at the administration and services offices.
- Assist with staff updates and notices.
- Assist with employee onboarding and offboarding processes.
- Maintain timecard hours/grant allocation spreadsheet.
- First point of contact for visitors.
- Maintain record of keys on hand and system of checking them in/out.
- Assist in coordinating with landlord for building & grounds maintenance needs.
- Troubleshoot security system with the security monitoring company.
- Maintain an inventory of office supplies.
- Assist with coordination of all office equipment and technology needs, maintenance requests, and associated supplies.
- Liaison between CTF and Technology Management vendor and telecommunications vendor.
- Update phone lists, policies, procedures, and job descriptions.
- Other duties as assigned.
