Job Description Outline

Job Title: Administrative Assistant Date: 02/15/2024

Department: Multiple (Development/Diaconate/Divine Worship/Public Relations)

Reports To: Director

Job Summary: The office is responsible for many areas and programs. This position assists the Director and ensures the goals and responsibilities of the office are met. He/She must be able to multitask and handle all clerical functions within the office and assist in a wide variety of administrative duties.

Essential Job Functions:

1) General Office Duties:

A) Handles typing and filing duties for the Director.

B) Handles telephone and receptionist duties.

C) Organizes and schedules meetings and conferences.

D) Manages the office calendars and plans for upcoming events.

2) Assistance in the area of Development:

A) Assists in collecting information and data entry for grants.

B) Keeps a calendar of due dates for grants and grant reporting.

C) Assists with large conference preparations (i.e., Genesis of Eve Women’s Conference).

D) Assists with preparing for seminars and special events.

3) Assistance in the area of the Diaconate and Divine Worship:

A) Prepares material for the monthly diaconate formation meetings.

B) Ensures deacon files and required documentation are kept current.

C) Keeps confirmation and liturgical calendar for the office.

D) Assists with liturgical planning (worship aids, communication with churches…).

4) Assistance in the area of Public Relations:

A) Works with the Bishop’s office and the Director of Communication in planning social media videos.

B) Proofread media material prior to publication.

5) Since this office is responsible for a variety of programs and areas of interest, the above responsibilities are to give a general idea. Additional tasks not listed in this document may be assigned by the Director to ensure programs and areas of responsibility are successfully accomplished.

Required Proficiencies

– Must be proficient in using current versions of Microsoft Excel, Word, and Outlook software.

– Must have excellent communication and typing skills.

– Be a team player.

Pay: From $15.00 per hour
