Job Summary
OdysseyHouse Louisiana, Inc. is seeking a full-time Administrative Assistant for the Pharmacy.The schedule for the position is Monday-Friday 8am-5pm. The AdministrativeAssistance performs a wide variety of administrative tasks for the PharmacyDepartments supporting the Program Director with various efforts relatedto agency wide operations.
Responsibilitiesand Duties
It is theduty and responsibility of the Administrative Assistant to:
• Prepare requisitions into Microix as requested by the Program Director forPharmacy;
• Prepare invoices for external vendors i.e. CuraScript;
• Manage injection log for OHL's Pharmacy;
• Own transportation of all Pharmacy injections between FQHCs andPharmacy;
• Own troubleshooting of insurance issues for clients accessing medications via OHL's Pharmacy;
• Complete and upload Medical AssistanceTrust Fund Quarterly Fee Report;
• Prepare invoices to partner departments and agencies;
• Coordinate script and cost approval across partner departments and agencies;
• Reconcile financials on Cardinal portal;
• Reconcile financials internal trackersand with finance department;
• Assist pharmacy with supply management;
• Prepare receipts for Pharmacy and drop off weekly to Finance;
• Interdepartmental communication forfund coverage of scripts;
• Provide day to day assistance for questions related to pharmacy;
• Data gathering, analyzing, and preparations of memos/presentations/reports as requested by the Program Director for Pharmacy;
• Leads daily, weekly, monthly reports for pharmacy related tooperations, billing, and financials;
• Prepares various administrative tasks such as note taking duringmeetings, agenda preparation, collaborativeprovider meetings, in SharePoint organization;
• Maintain department's records system, including filing and retrievingdocuments, researching files, etc.
• Assist with filing of client documentation as requested bythe Program Director;
• Contact the Program Director in the event of a fire orevacuation of the treatment facility as required.
• Contact the Program Director; if the Police or other lawenforcement officials come to the agency.
• Attend staff andother meetings as needed; attend staff and other meetings as needed;
• Provide crisismanagement when indicated by client need;
• Attend regularlyscheduled in-service training as assigned;
• Participatein Quarterly training with staff;
• Completeadministrative projects as assigned;
• Complete allIncident Reports prior to the end of scheduled shift as required by IncidentPolicy and Procedure;
• Maximizeunits of services and maintain contract units of service by working withclients to stay engaged in treatment;
• Adhere to allSubstance Abuse and Mental Health Services Administration and Agency contractrequirements;
• Coordinateand work with other departments;
• Treat clientsand other staff with dignity and respect;
• Complete workin allotted amount of time; and
• Perform other duties as assigned.
Qualifications and Skills
MINIMUM QUALIFICATIONS
Minimumqualifications include the following:
• One year of AdministrativeAssistance experience
• Two years ofexperience working with diverse populations
• Proficient inMS Office 365 Suite
• Excellentwritten, verbal, organizational, and communication skills
• Ability to becreative and flexible within parameters of treatment programs and modalities
• High SchoolDiploma or equivalent
• ValidDriver's License

• Bachelor's Degree
