The City & Borough of Juneau's, Engineering & Public Works Department is seeking an Administrative Assistant to become a valuable member of our Streets & Fleet Maintenance team!
In this role, you will play a vital part in delivering administrative assistance to our Streets Maintenance division, which is dedicated to the upkeep and repair of the intricate network of CBJ streets, sidewalks, traffic control devices, stairways, storm drainage facilities, and street-related structures. Additionally, you will provide essential support to our Fleet Maintenance program, which is responsible for performing preventative maintenance and repairs on a diverse range of CBJ fleet equipment. CBJ Fleet also oversees the City's automated fuel system.

Streets & Fleet Maintenance consists of five mechanics, twenty-two equipment operators, and two administrative staff members. The bulk of our team is often out in the field so good communication and maintaining strong working relations is vital to this position. Working for Streets & Fleet Maintenance is both rewarding and challenging. This position would get the opportunity to cross-train on a wide variety of Engineering & Public Works tasks. WORKING HOURS AND LOCATION
This position works Monday through Friday 8am - 4:30pm. Your office would be located at 7100 Glacier Hwy, minutes away from the Mendenhall Valley with the Heintzleman Ridge Trail nearby. Onsite parking is provided, and an outdoor space is available for breaks.
Typical Responsibilities
The Administrative Assistant position supports the overall administrative functioning of the Engineering & Public Works (EPW), Streets & Fleet Maintenance Division. This position reports directly to the Administrative Coordinator, but also collaborates closely with the Streets & Fleet Maintenance Superintendent, Fleet Manager, and Streets Maintenance Supervisors. You will be the first point of contact for the division and must be able to provide excellent customer service to both CBJ staff and the public. This position requires strong organizational skills, independence on task completion, and a proficient knowledge of Microsoft Excel. Typical responsibilities include the following:
- Assists customers, callers, and visitors with basic questions regarding services.
- Maintains the Fleet Maintenance Vehicle Tag Title Database.
- Inputs daily timecards into the Streets software system, tracking and coding labor, equipment, and supplies against the correct tasks and projects.
- Tracks and tabulates bi-weekly timecards for all employees.
- Maintains the division leave calendar.
- Processes payments, allocating expenses to the correct account codes.
- Tracks expenditures and monitors remaining balances on open purchase orders.
- Keeps forms, brochures, and public information up to date.
- Prepares correspondence for mailing.
- Works on project-specific tasks as assigned.
Minimum Qualifications
Education:
High School graduation or the equivalent.
Experience:
Six (6) months of clerical experience. This work is equivalent to an Office Assistant with the City & Borough of Juneau or equivalent elsewhere.
SUBSTITUTION:
Post-secondary or vocational training may be substituted for the required. experience on the basis of three (3) semester or four (4) quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)
Other:
Requires a valid Drivers' license at time of appointment and for continued employment.
