The Superintendent of Schools announces the following position within the Fall River Public School System:
Position:Administrative Assistant
Job Description: To assist the Leadership Team member in developing and implementing effective practices and policies that helps meet the administrative needs of the Fall River School Department and support the school system's overall goals.
Required Qualifications:
- A minimum of five years of successful secretarial experience in a public or private organization's management office
- Demonstrated ability to collect, process, and maintain confidential data related to staff and/or students
- Demonstrated experience with management and supervision of duties and personnel related administrative support activities
- Demonstrated ability to apply sound policies and procedures to executive office work, including maintaining confidentiality, coordinating multiple tasks, scheduling work efficiently, and communicating effectively with others
- Experience with financial management software including payroll and accounts payable preferred (Munis)
- Demonstrated ability to prepare official correspondence, organize information and generate periodic reports
- Demonstrated ability to take initiative and work collaboratively with others within a central management office
- Strong writing skills and full proficiency with business management software, and spreadsheet development and maintenance is required.
- Demonstrated ability to effectively communicate with staff, parents and others
Performance Responsibilities:
- To maintain appropriate levels of confidentiality related to work and information handled by the Leadership Team.
- To collect, process and maintain confidential data related to School department matters
- To manage, supervise and review all clerical and administrative support activities
- To provide administrative assistance to the Leadership Team member in all matters of official correspondence; in the consolidation and formatting of the relevant area of the annual budget; and in the generation of any periodic reports related to expenditure.
- To manage, supervise and review the following duties related to bi-weekly payroll processing: time and attendance, leave usage, overtime administration, step increases, longevity increases, stipends, and the timely entry of all such information into the central payroll processing system.
- To work collaboratively with administrative and support staff in addressing responsibilities including school department planning, personnel policies and procedures, negotiations, management of grants, school department operations, evaluation, and other duties required by the Superintendent of Schools
- To help collect information for and prepare reports and presentations required by the United States Department of Education, State Department of Education, School Committee, Department of Environmental Protection, Massachusetts School Building Authority, City of Fall River Departments, the Leadership Team member, and the Superintendent of Schools.
- To assist in the organization and preparation of legal information pertinent to the department
- To prepare confidential correspondence and documents
- To assist the Leadership Team member in scheduling and coordinating meetings
- To prepare confidential letters and memos as they pertain to suspensions, reprimands, expulsions on all personnel or students, or related letters to parents
The Superintendent of Schools reserves the right to waive a position qualification or determine that there is an acceptable alternative to that qualification. If the Superintendent intends to waive a qualification, such intent will be shared with the Fall River School Committee.
Reports To: Immediate Supervisor
Supervises: Clerical Staff as assigned by Immediate Supervisor
Terms of Employment: Salary and benefits to be negotiated. Length of the work year and hours of employment shall be established within an individual contract. 12 month position Salary Range $50,000 - $65,000
