ROLE: The Administrative Assistant to the School of Business will provide assistance and support to the Deans, Associate Deans, Program Directors and faculty of the School of Business as needed. All activities of this position are to make a contribution to the fulfillment of the mission of the university.
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING:
- Prepare and maintain all necessary mailing lists, correspondence, memos, forms, etc. associated with the operations.
- Arrange and schedule Dean’s appointments and other calendar events. Set-up appointments with prospective students for Program Director and Dean interviews for admission into the MBA Program as needed in coordination with Admissions Director
- Provide training, assistance, and support for use of office equipment and computer systems
- Order and maintain small inventory of office supplies as well as locate special resources for supplies both on and off campus
- Create and maintain adjunct faculty contracts as well as full-time and resident faculty load weight reports.
- Serve as budget coordinator including maintaining records of all PO’s, expense reports, requisitions and encumbrances.
- Develop and maintain program, course and student reports to assist in decision making
- Maintain, track and manage student handbooks, textbook adoptions, syllabus filings, assessment reporting, course evaluations and accreditation artifacts
- Develop and maintain a School constituency database (CRM) for active and potential speakers, instructors, Institute customers, internship possibilities and donors
- Manage student, course and program processes (e.g. registration, substitution, etc.)
- Facilitate resolution of student questions and concerns
- Consult with appropriate personal to facilitate timely completion of activities in the absence of the Administrative Dean or Dean
- Plan, execute and coordinate internal and external events business and social events (e.g. Meet the Dean, Deans Advisory Board, Business Speaker Events, etc.)
- Participate with Finance and Foundation departments in the timely status reporting of endowments, gifts and other donations specifically earmarked for the School of Business
- Attend and record designated School of Business meetings
- Other duties as assigned
QUALIFICATION REQUIREMENTS:
- Ability and willingness to complete assignments requiring the development of new or unique processes or relationships
- Ability to take direction from many different faculty members
- Ability to prioritize tasks, work in an unsupervised environment, and work efficiently and effectively under pressure
- Minimum typing speed of 65 wpm with high degree of accuracy in spelling and punctuation
- Possess an intermediate working knowledge and understanding of the Microsoft Office Suite (Word, Excel and PowerPoint)
- Possess a functional knowledge and understanding of the following Microsoft products: Access, Project and Publisher
- Be proficient in the use of copy machines and other office equipment
- Maintain a sense of humor in meeting conflicting expectations
- Respect and maintain the confidentiality of work done for the faculty (FERPA)
- Willingness to learn new or additional job-related tasks
- Initiative to devise ways to improve the flow of work in the office
- Ability to work with the distractions of a busy office
- Ability to supervise student employees or other employees
EDUCATION and/or EXPERIENCE:
- A strong candidate will possess a BA or equivalent; or three to five years related experience and/or training; or equivalent combination of education and experience.
