We are seeking a motivated, experienced Administrative Assistant to join our growing organization. In this position, you will play a key role in streamlining our company’s workflow as the link between various departments, employees, and vendors. You will be responsible for maintaining an organized front office, performing administrative and project support duties, and assisting employees as needed.
Primary Responsibilities
In the role of Administrative Assistant, we'll count on you to:
- Provide support for staff as needed, including reception duties such as answering and directing telephone calls, delivering messages, greeting employees and visitors, scheduling conference calls, and distributing incoming faxes and mail
- Complete word processing as needed, including letters, memos, reports, and labels
- Provide meeting setup, travel arrangements, and other miscellaneous tasks/projects as needed
- Coordinate with outside vendors and contractors
- Coordinate the use and organization of office space
- Manage inventory of office supplies; purchase supplies and equipment when needed
- Coordinate and manage meeting facilities and arrangements
- Operate office machinery such as computers, photocopiers, and printers; perform light maintenance and troubleshooting
- Handle highly sensitive and confidential information with professionalism and discretion
- Answer questions relating to company policies and procedures as needed
- Perform other duties as needed
Required Qualifications
- High school diploma or equivalent required
- Proficient in MS Office Suite, including Word and Outlook
- Excellent written and verbal communication skills
- Strong interpersonal skills and the ability to effectively work with a variety of personalities
- Professional, self-motivated, well-organized, and detail/task-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced work environment.
- Type, revise and combine materials such as correspondence, reports, records, forms, meeting minutes, scientific or technical material, numerical data, and tabular information from rough draft, corrected copy, or previous versions
- Proofread and edit documents for grammar, spelling, punctuation, and format
- Experience working in an office environment
- Effective problem-solver and ability to meet deadlines
- Ability to handle confidential information
- An attitude and commitment to being an active partner of our employee-owned culture is a must
