Job Summary:
This position will oversee the front desk operations and handle various administrative and clerical duties. As our company's first point of contact, you will greet visitors and assist with administrative tasks across the organization. This position requires a friendly and approachable individual to deliver excellent customer service, efficiently manage office tasks, and handle emergencies promptly. Strong multitasking abilities and stress management skills are also required to ensure smooth office operations.
Duties & Responsibilities:
- Maintain a clean and organized reception area with necessary supplies.
- Support managers by aiding with tasks including scheduling interviews, inputting data into several platforms, handling some accounts payable duties, etc.
- Welcome and assist guests upon arrival and direct visitors to the appropriate person or department.
- Handle incoming and outgoing communications, including emails and phone calls.
- Sort and distribute mail and packages, ensuring packages are scheduled for delivery through FedEx or UPS on time.
- Ensure office security measures are followed and monitor access through the reception desk.
- Manage office supply inventory and orders while maintaining records of office expenses.
- Coordinate and schedule meetings, appointments, and events.
- Update calendars and make travel arrangements.
- Maintain filing systems and databases.
- Prepare and submit expense reports for managers and/or team members.
- Maintain the breakroom in the administrative building.
- Perform other administrative tasks as needed.
Requirements & Skills:
- High school diploma is required; possessing additional certification in Office Management or a related field is a plus.
- 1-5 years experience as a Receptionist, Administrative Assistant, or similar role.
- Excellent organizational, multitasking, and time-management abilities.
- Proficiency in PC operations and strong Excel skills are necessary.
- Customer service-oriented mindset.
- Ability to work independently and as part of a team.
- Knowledge of accounts payable and general bookkeeping procedures is preferred.
- Knowledge of office equipment such as fax machines and printers is required.
- Professional demeanor and appearance.
- Strong written and verbal communication skills.
- Ability to proactively address issues and demonstrate resourcefulness.
