Summary
Quarry Hill School is looking to expand its team. This administrative position will coordinate with the Director and Teaching team to maintain our office, support building, maintenance, children and families. The Administrative Assistant shall develop good relationships with the children, with their parents, with the director, the co-director, and with the members of the teaching team.
She or he shall: Be committed to the philosophy goals of the school. Be familiar with bookkeeping procedures, and the computer programs utilized by the school. Have good people skills and a commitment to young children quality childcare programs. Computer skills necessary include word processing, Excel, Google Drive platform and social media.
Schedule: 10 hours/weekly - 48 weeks/year
Scheduling will be arranged with the Director and will include both in-person and remote working hours.
Duties
Specific Duties include
- Mailing list
- Maintaining database (Access/Excel) for mailings
- Working with the director and co-director to print, assemble and mail
- Maintaining electronic mailing list in MailChimp. Sending electronic mailings as requested
- Tracking donations and ensuring that appropriate acknowledgements are made.
- Enrollment
- Handling inquiries- maintaining waitlist and contact lists of perspective families
- Scheduling visits sending info to potentials
- Working with the director and co-director to notify families of enrollment or waitlist status
- Maintaining enrollment materials and sending them to families
- Contact lists
- Schedules
- Medical forms
- Prek enrollment forms
- Family questionnaires
- Letter from the teaching team/directors
- Making sure Prek enrollment deadlines are met.
- Maintaining attendance records for subsidy and prek
- Submitting attendance for payment
- Office Maintenance and organization
- Paper and electronic organization and filing
- Photocopying and correspondence
- Sorting mail
- Making receiving phone calls
- Ordering supplies materials.
- Fundraising
- Helping with fundraising projects- working with the director, co-director and parents
- Grants
- Writing and research
- Reporting
- Maintaining relationships with funders
- Technology- with input from the director and co-director- maintain and update
- The website
- Social media accounts including Instagram and Facebook
- Promotional efforts- newspaper or otherwise
- The computer, and iPad
- Google Drive
- Licensing and Credentials- with input from the director and co-director
- Ensure that the school's license, credentials, and non-profit tax status are current and in good standing
- Make sure the building systems inspections and evaluations are up to date
