JOB DESCRIPTION: FKO is looking for an Administrative Assistant to provide daily support to the Peabody district with administrative tasks necessary to maintain and promote quality out-of-school time programming. An ideal candidate will believe in the overall mission of FKO, possess strong organizational, communication and technology skills, and have the ability to work in a team environment. The Administrative Assistant reports to the Peabody District Director.
Duties of the Administrative Assistant include, but are not limited to:
• Provide clerical support (i.e. scheduling, phone calls, filing) to the District Director;
• Support with Peabody district payroll and HR duties, such as processing of new and maintenance of existing employee/volunteer personnel files, staff schedules, and audit of employee timekeeping;
• Assist families with program registration, information on programs, financial assistance and available resources, and FKO related questions via telephone, email or face-to-face meetings;
• Collect documents from all sites within the district, review for completion and accuracy and submit to the relevant FKO department;
• Assist tuition and subsidy support team with support on past due balance collection, subsidy expiration notifications, family communication, etc.;
• Review daily attendance submission from all program sites, monitor excessive absence reports and provide support with additional attendance and tuition management duties.
• Support with oversight of grant requirements, budgeting, reporting, and student outcome and program quality data collection, entry and analysis;
• Provide support with school, community and family partnership efforts;
• Attend all job-related trainings, meetings and events as requested; and

Minimum requirements for the position include:
• Minimum of High School diploma required;
• Proven ability to be proactive with excellent troubleshooting and problem solving skills;
• Excellent written and verbal communication skills;
• Strong organizational skills and attention to detail;
• Proficient in Microsoft Office programs (i.e. Excel, Powerpoint, Outlook, Word);
• Bilingual a plus
• Ability to travel throughout the city of Peabody and to and from FKO’s administrative office in Winthrop.
