Hiring Part Time, In-Person, Administrative Assistant/Office Manager
Brickel and Associates, LLC, a busy woman owned, private psychotherapy practice in Old Town, Alexandria, is seeking an Onsite, Part-time Administrative Assistant/Office Manager. This person will work directly with the Clinical Director/Owner of the practice to co-manage front and back-end responsibilities. The ideal candidate is professional, organized, extremely detail oriented , with a warm friendly demeanor and an interest in or experience with mental health and wellness.
The ideal candidate will:
· Enjoy a Part-time position, working Monday-Thursday.
· Find the hours of 6:45 AM-2:00 PM a good fit.
· Have a desire to stay in a position long- term.
· Have a minimum of 2 years’ experience as an Administrative Assistant or Office Manager.
· Be highly proficient with Microsoft Office, including Outlook, Word and Excel.
· Possess excellent written and clear, concise verbal communication skills.
· Have experience with data entry.
· Understand and have the ability to handle confidential materials according to HIPPA standards.
· Have demonstrated success working independently and being a self-starter.
· Enjoy interacting with clients in a warm but professional manner.
· Take pride in paying attention to detail.
· Have the availability to train for a full day on a Saturday.
· Agree to the completion of a background check.
· Have experience with EHR. This would be a plus, but not required.
If you meet the above description, you must also love fulfilling the following responsibilities:
· Responding to client voicemails and emails promptly, with documentation
· Preparing/maintaining client files
· Updating databases, lists, and logs
· Filing/Maintaining client and office files, including EHR
· Preparing correspondence
· Organizing the office, including tracking office supplies
· Tracking client payments and preparing Superbills
· Updating and maintaining the quality of office forms
· Performing compliance audits
· Interacting with clients in a warm but professional manner.
