Position Summary:
The Administrative Assistant at the Medical Education Center of Excellence (MECOE) provides crucial administrative support to senior department leaders and assists other team members to ensure smooth departmental operations. Reporting to the Administrative Manager, this role supports the Administrative Manager, Administrative Analyst, Assistant Deans, and Associate Deans of MECOE.
Essential Duties and Responsibilities:
The successful incumbent will perform the following duties:
- Assist in collecting and compiling information for key departmental functions, including strategic and financial planning, budgeting, and reporting.
- Analyze and process invoices and purchase orders, ensuring accurate allocation of expenses to accounts and cost centers. Monitor vendor payments by verifying check numbers and purchase orders, and track department expenses.
- Accurately and promptly enter data and information into databases and systems, including student data, course details, and more.
- Attend meetings as required, maintaining a high level of confidentiality when handling sensitive matters. Create agendas and minutes for these meetings.
- Implement quality, service, and process improvement initiatives to enhance day-to-day administrative and operational efficiency.
- Manage all aspects of event planning for the department, as necessary.
- Perform other role-related duties as assigned or requested.
Required Skills and Experience:
- Minimum of two years' experience in a similar administrative support role, with a preference for experience in a higher education setting.
- High proficiency in word processing, Excel spreadsheets, presentations, email, and virtual meeting applications, preferably on Google Workspace or Microsoft 365 platforms.
- Experience with Smartsheet is preferred but not required.
- Strong customer service skills.
- Excellent planning and organizational skills.
- Critical thinking abilities.
- Strong communication skills, encompassing written, verbal, and interpersonal.
- Exceptional collaboration skills.
Education and Certifications:
- High school diploma or GED required; an Associate's or Bachelor's Degree in business administration, liberal arts, or a related field is preferred.
Physical Requirements:
- Ability to sit for extended periods, up to eight hours per day.
- Capability to lift up to 25 lbs.
- Ability to view a computer screen for prolonged periods, up to eight hours per day.
- Manual dexterity and mobility required to operate personal computers and other office equipment.
Salary Range: $20.26 - $27.19
