The Administrative Assistant I position reflects the mission, vision, and values of Northwestern Medicine, adheres to the organizations Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards. The Administrative Assistant I supports the McHenry Internal Medicine Residency Program and is responsible for providing administrative services to aid program initiatives and compliance with the Accreditation Council for Graduate Medical Education (ACGME).
Responsibilities
- Facilitates and maintains both written and phone correspondence with residents, faculty, and hospital/health system administration.
- Schedules meetings, conferences and lectures; prepares and distributes conference and lecture materials; coordinates arrangements such as catering and room set up. Records and documents meeting discussions as requested.
- Event planning for annual orientation, graduation, and occasional holiday celebrations
- Updates GME, Rosalind Franklin University, and health system databases with trainee and faculty data.
- Assists with the processing of purchase orders, check requests, and bill payments.
- Maintains, delivers and/or coordinates the delivery of documents, files and materials as required.
- Maintains adequate office supplies inventory and orders as necessary.
- Becomes familiar with ACGME and hospital policies to support compliance and develops a basic understanding of program curriculum and educational goals.
- May perform other duties as assigned.
Qualifications
Required:
- High School Diploma or GED equivalent.
- Zero (0) to two (2) years experience in a relevant role.
Preferred:
- College studies and a minimum of two years of providing office services (strongly preferred).
- Basic understanding of Microsoft Office software.
- High degree of discretion dealing with confidential information.
