Description
Assist assigned faculty with administrative and clerical tasks required for effective and efficient teaching performance.
Examples of Duties
Essential Functions:
- Perform administrative and clerical tasks for assigned faculty. This includes, but is not limited to: creation of letters, memos, committee reports, and materials for use in the classroom (syllabi, rosters, exams, handouts, casebooks, etc.), and mail merges.
- Proofread and spell check materials before returning them to faculty.
- Access and become proficient in using Loyola systems such as LORA Self-Service, Colleague, Argos reporting, and Canvas.
- Reserve rooms for faculty events on the law school campus.
- Responsible for the maintenance and operation of laser and color printers, postage meter, and fax machine.
- Responsible for ordering and maintaining inventory of office supplies for Law Faculty.
- Receive and process standard USPS and expedited mail.
- Post notices of class cancellations and office hours when asked.
- Assist professors with exam preparation and programming.
- Assist the Law Records Office with proctoring exams, managing accommodated student and makeup testing materials, and sorting examination materials upon the completion of testing.
- Assist professors with class book orders.
- Make independent, professional, and accurate decisions in the absence of written/oral policies/procedures
- Be consistently proactive in recommending improvements to current work processes.
- Take initiative to provide timely and consistent follow-up of departmental orders or other requests and communicate follow-up to appropriate individuals.
- Maintain regular and open communication with all deans, faculty, staff and students
- Provide cordial, prompt and helpful assistance to administrators, faculty, staff, students, and visitors.
- Take initiative to notify appropriate individuals when forms and supplies are needed
- Provide faculty with notification of vacation at least two weeks in advance. Also responsible for scheduling vacation in order not to conflict with exams, beginning of semesters, or large planned projects of faculty. • Maintain a neat and well-organized work area.
Typical Qualifications
Required Education, Experience, Skills and Abilities:
- Bachelor's degree, Associate's degree, or some college education preferred. Administrative experience is highly preferred.
- Above average typing skills (40-50 words per minute before errors, preferred).
- Proficient verbal and written communication skills and expert proofreading ability is essential.
- Professional demeanor and preemptive planning skills are critical.
- Ability to learn and use Loyola technology systems is required. Proficient knowledge of Google Suite, Microsoft Office Suite, and Adobe Pro is required.
- Promptness and in-person work attendance is required.
- Ability to handle confidential material in an appropriate manner is required.
- Ability to lift up to 30 pounds
