Working under general supervision, incumbents in this position provide general administrative support for the Maintenance Department and back-up coverage for the Laboratory switchboard. Position supports a group of over 40 Facilities technicians with an overall annual budget responsibility over $7M.
Key Responsibilities
- Manage Maintenance Department internal and external communications including serve as first tier contact for Maintenance Hotline and as central Facilities Services dispatcher; maintain Maintenance website, communicate with clients via various media such as email, website, bulletin, phone, etc.
- Using Maximo and other platforms, receive and enter maintenance requests, provide technical assistance to Maximo users, update campus data, process work orders and schedules, assist with material procurement and generate routine reports.
- Manage records to include, but not be limited to, BAS data archives, campus regulatory records, energy use, training, contact lists, vehicle registrations, permits & licenses, project punch lists, and other data intensive processes.
- Provide back-up Laboratory switchboard coverage as necessary to provide lunch/vacation/sick leave coverage for primary Switchboard Operator. This may require 3:30 to 5:00 coverage occasionally.
- Provides phone coverage, calendar maintenance, travel & expense reporting, credit card statement reconciliation, pager & radio accounts, meeting arrangements, along with other general administrative functions.
- Responsible for submitting Time Reports in a complex reporting environment, processing daily work & vacation schedules and other labor and scheduling functions.
- Contracts/requisitions/invoices for vendors vital to day-to-day operation of Laboratory processed in a timely manner in order to assure continuous flow of materials/services.
