Job Location: Spartanburg, SC
Job Duration: 12 Months
Schedule: Monday through Friday, 7:30 am - 4:00 pm. OT may be required at times.
Roles and responsibilities:
- Manage calendars (Outlook meeting scheduling/coordination/preparation as needed), as well as domestic & international travel arrangements, and expense reporting as needed.
- Coordinate and prepare/update various documents and reports.
- Develop and implement systems and methods for efficient management of office operations (e.g., establish and maintain filing systems, and ensure incoming and outgoing mail are handled properly and urgent items are addressed promptly).
- Create and maintain spreadsheets and databases, and generate reports and documents.
- Process invoices (Work cycle / SAP / CassPort)
- Handle the needs of the teams (new hire onboarding, order office supplies, etc.) and manage projects and special requests on top of daily responsibilities.
- Assists the Environmental, Health, and Safety specialist at the site with important data entry and management.
- Is a key member in ensuring customer and key Client visitors are wOur Companyomed to the site. Helps arrange visitor badges, visitor signins, management of proper PPE (Personal Protective Equipment), and dietary considerations are arranged.
- Aids in ensuring agendas are distributed accordingly and preparing meeting rooms when conferences, workshops, etc. take place at the site. The incumbent is required to be available early on days when such events take place and may be required to stay late to help support the daylong event.
- Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications.
- Develops, implements, and administers departmental office systems and procedures
- Establishes office procedures, policies, and operations. Interprets and communicates policies and processes.
Qualifications:
- Have a High School Diploma or equivalent and 2+ years of administrative experience in an office setting.
- Are Highly proficient in MS Office Suites software, including Outlook, PowerPoint, and Excel, and are also flexible and open to learning new technologies to improve efficiency.
- Have excellent verbal and written communication skills and the ability to work under minimal supervision, as well as in a team environment.
- Are multitask oriented and able to manage tight deadlines, have excellent organizational skills and attention to detail as well as excellent interpersonal skills to efficiently assist internal/external customers.
- Demonstrate ability to handle confidential information appropriately and interact effectively with all levels of personnel.
- Are a self-starter, able to thrive in a fast-paced environment and coordinate and prioritize diverse activities to meet critical deadlines.
