Provide clerical and administrative support to the Student Life team which includes the areas of campus life and wellness services. Assist students coming to the office seeking help with various student services. This person must be a problem solver and be comfortable dealing with a wide range of situations and be able to communicate effectively and confidentially with parents, students, faculty, staff, and members of the greater community.
Examples of Duties• Manage the functions of the main office:
o Disseminate information received via phone, mail, and direct contact to the appropriate resource.
o Coordinate multiple calendars and schedule meetings for Dean and Associate Dean.
o Manage budget reports from web based financial database.
o Prepare financial documents (e.g. balance sheets, purchase orders, invoices, and reimbursements).
o Coordinate centralized purchasing for office(s).
o Process documents (e.g. memos, policies, and spreadsheets).
o Update and post information on website and other marketing and social media platforms.
o Complete various clerical duties which include filing, copying, scanning, word processing, and spreadsheets.
• Data entry and follow-up for:
o Maintenance/custodial services and technology requests.
o Time and attendance system for all student employees, Student Life and Housing Offices.
• Assist the operation of the Housing Office inquiries including:
o Process, file, log requests, and follow-up on resident requests.
• Assist student government and student organizations with:
o Financial processing (account reconciliation, document tracking, deposits, purchase requests and reimbursements).
o Coordinate centralized purchasing for Student organizations.
• Coordinate with Student Activities Office on scheduling paid tables for outside vendors in the Campus Center.
• Assist with or Serve as the Project Manager for special projects (e.g. Student Orientation, Welcome Weekend, Family & Friend Weekend, etc.).
Typical QualificationsEducation: Associate’s Degree; Bachelor’s Degree preferred.
Experience: 2-5 years of diversified office experience.
Knowledge, Skills and/or Abilities: Good written and verbal communication skills. Knowledge of Microsoft Office and Excel along with general familiarity with Google platforms is needed.
As the first point of contact for the Student Life Staff, the candidate must be able to create a welcoming atmosphere, employ good listening skills and patience, be able to build relationships with students and have strong customer service skills.
