Administrative Assistant – Educational Services
BASIC FUNCTION:
Under the direction of the Director of Educational Services, perform responsible technical and complex secretarial services to assist with administrative and clerical detail; organize and coordinate office activities and coordinate flow of communications; provide training and work direction to clerical personnel as assigned.
DISTINGUISHING CHARACTERISTICS:
The Administrative Assistant for Educational Services, performs secretarial duties in support of the Director of Educational
Services and district-wide educational programs and initiatives.
REPRESENTATIVE DUTIES:
● Perform responsible technical and complex secretarial duties in support of the Director of Educational Services and Principal of Arena High School; plan, organize and coordinate operating procedures, communications and administrative support functions to relieve the administrator of routine administrative and clerical details; train and provide work direction to clerical personnel. E
● Coordinate and facilitate the enrollment of new students and families to the District. E
● Interview and screen callers and visitors; provide detailed and technical information concerning District policies and procedures and established guidelines. E
● Communicate with District personnel or parents on confidential or sensitive issues according to established guidelines and procedures. E
● Develop procedures to expedite transmittal of information and facilitate implementation of policies and programs; assure timely communications. E
● Make telephone calls to verify, receive or transmit information; receive, open and screen incoming mail; independently compose replies according to established guidelines and procedures. E
● Compose memos, letters or other materials independently or from rough draft; prepare Board and Cabinet agenda items from oral or written instructions. E
● Maintain accurate records and files concerning accounts receivable/ fiscal services. E
● Maintain records concerning budgets; monitor budgets, process journals as necessary. E
● Maintain comprehensive records; prepare reports and files including those of a confidential nature. E
● Perform technical work in support of the functional area assigned. E
● Requisition, receive, store and distribute office materials and supplies. E
● Research and compile information and compute statistical data for Federal, State and District reports and special projects as assigned. E
● Schedule meetings, conferences and appointments; arrange for conference rooms; maintain calendar; arrange and schedule travel accommodations . E
● Attend a variety of meetings; prepare and send out notices; collect and compile information; record proceedings using dictation skills, transcription equipment or computer notebook; prepare and distribute minutes . E
● Operate a variety of office equipment . E
● Perform a variety of special projects as requested by the Director.
● Perform related duties as assigned.

EDUCATION AND EXPERIENCE:
Any combination equivalent to: graduation from high school supplemented by course work in secretarial science or related field and four years of increasingly responsible secretarial experience.

● Dexterity of hands and fingers to operate a computer keyboard.
● Sitting for extended periods of time.
● Reaching overhead, above the shoulders and horizontally.
● Bending at the waist and kneeling or crouching to retrive files from cabinets and shelves.
SALARY: N Range 21 – $24.65 - $29.97 (5 Steps) - 12 Months
