Administrative Assistant – Construction Estimating & Design
Position Overview
This energetic, enthusiastic, team-oriented person who is detail-oriented and skilled at error-free data entry, and with good communication and writing skills will provide administrative support to Munger’s estimating and design team.
Job Dimensions
- Support Estimators with subcontractor outreach, research and invitation to bid documents.
- Upload drawings, specifications, addenda, and bulletins to Munger’s construction management file sharing system throughout the bidding process.
- Develop, distribute, and update project alerts.
- Assist with Munger and AIA prime contract development.
- Assist estimators with subcontract development.
- Compile prevailing wage instructions packet for inclusion in subcontracts and coordinate with Finance to follow up with Subcontractors regarding submission of certified payrolls.
- Compile project information binders for project managers and project supervisors.
- Assist with filing for building permit process.
- Attend meetings, maintain, and distribute minutes.
- Compile and share key design/build estimating information throughout bidding process.
- Develop cost breakouts after project kick-off, including material breakouts, timelines, etc.
- Maintain the subcontractor database for new and existing subcontractors.
- Keep customers informed on project status throughout the estimating process.
- Complete annual Department of Administrative Services (DAS) Contractor Pre-Qualification application and manage requests for DAS certification from prospective Customers.
Knowledge, Skills, and Abilities
- A high school degree and one year of proven administrative support experience in a business setting. Construction industry experience is a strong differentiator.
- Proficient with office automation technology, and MS Office, email, Google, and job-related software
- Accurate document processing following standardized procedures with a strong attention to detail
- Able to self-start and work independently without direction
- Cooperative working relationships with team members and external subcontractors
- Proficient writing/proofreading skills
- Strong interpersonal and listening skills
- Strong time management, assertiveness, well organized, meets deadlines
- Demonstrates flexibility in accommodating changing priorities, processes, or methods.
- Demonstrates commitment to cost and time effectiveness.
Job Type: Full-time
Pay: $20.00 - $30.00 per hour
Expected hours: 40 per week
