JOB SUMMARY:
The Clinical & Translational Science Institute (CTSI) Administrative Assistantprovides a wide variety of administrative duties toward meeting departmental goals in support of the CTSI department and leadership. Performs calendar management for 5 CTSI leaders, travel/meeting/event coordination, project support, conference and virtual communications room set up, and document/presentation preparation.
EDUCATION/EXPERIENCE:
- High school diploma or recognized equivalent.
- Must have (3) three years administrative support experience in a professional setting.
- Associate's degree in Secretarial Science preferred.
- Punctuality, accountability, and keen attention to detail in each duty.
- Strong team player with excellent collaboration skills.
- Problem-solver who can produce quality content and stay focused under constantly shifting conditions and priorities.
- Ability to prioritize and execute multiple projects under tight timelines.
ESSENTIAL FUNCTIONS:
- Functions as point of contact for department leader(s).
- Coordinates or prepares meeting materials and gets direction from others to ensure leader is as prepared and organized as possible.
- Manages leader's calendar, discussing with leader as appropriate. Schedules locations and resources needed.
- Optimizes leader's travel schedules and expedites expense reports.
- Responds to inquiries and sensitive questions in a professional manner, and when appropriate, takes initiative to refer to most appropriate Medical Center official.
- Provides administrative support at meetings of significance.
- Assists with departmental budget by processing expenditures for accurate accounting.
- Assists in coordinating projects, preparing reports and follow-through as requested. Identifies opportunities for improvement.
- Compiles confidential Medical Center information using discretion as to appropriate action.
- Composes correspondence and signs on behalf of leader as delegated.
- Assists with coordination of administrative support functions in the office.
- Provides direction to other administrative staff in department as appropriate.
- Performs other related duties as requested.
