Overview

HarperCollins Children's Books is currently seeking an Administrative Assistant to provide general administrative support to two VP, Publishers.

This position is based in NYC on a hybrid schedule.

Responsibilities

  • Maintains calendar for two VP, Publishers, and works to keep daily workflow moving and appointments on-schedule.
  • Supports two VP, Publishers and select editorial directors with administrative tasks including booking travel, expense reports, and office logistics.

  • Records and distributes minutes at select meetings as necessary.

  • Maintains imprint publishing pipelines, and other departmental tracking documents.

  • Arranges in-person meetings with agents, authors, and other partners; reserve and set up conference rooms for these events and in-house team meetings.

  • Researches competitive data, industry sales figures, and analytic information to support VPs and select editors as necessary in strategic planning initiatives and title specific research.

  • Process invoices for department.

  • Orders books for office, Publishers, and author/agents contractual copies for department.

  • Maintains attendance calendars for the Publishing teams.

  • Manages in-house storage and libraries.

  • Handles author mail for department.

Qualifications

  • Minimum 1 year of prior administrative experience preferred
  • Must be extremely organized, detail-oriented, and demonstrate the ability to problem-solve

  • Must be able to work independently and set priorities

  • Must have exceptional written and verbal communication skills

  • Ability to confidently interact with internal and external executives in a personable and professional manner

  • Must have strong computer skills; PC familiarity is essential, Mac familiarity is a plus; Knowledge of Excel, Word, Outlook and PowerPoint essential

  • Must have copy-editing and writing skills

  • Candidate should enjoy maintaining schedules and organization and keeping the team on-track

The salary range for this position is $50,700-$53,000. We recognize that attracting the best talent is key to our strategy and success as a company. The quoted salary range represents our good faith estimate as to what our ideal candidates are likely to expect, and we tailor our offers within the range based on the selected candidate's experience, industry knowledge, technical and communication skills, and other factors that may prove relevant during the interview process.
