About Biological & Environmental Engineering
The Department of Biological and Environmental Engineering (BEE), within the College of Agricultural and Life Sciences, is one of the largest of its kind in the country with a diverse faculty, staff, and student population. The department serves three integrated functions: teaching undergraduate and graduate students, researching problems in biology and the environment, and public outreach to help society implement new knowledge.
The New York State Water Resources Institute (NYSWRI) resides within CALS and BEE. Its mission is to improve the management of water resources in New York State and the nation. NYSWRI collaborates with regional, state, and national partners to increase awareness of emerging water resource issues and to develop and assess new water resource management approaches, technologies, and policies. NYSWRI connects water research and water management communities.
The Opportunity

The Department of Biological and Environmental Engineering (BEE) is seeking a dynamic Administrative Assistant to play a crucial role in ensuring the seamless administration of our programming. This is a unique opportunity to join a team dedicated to advancing water resources research and education.
Key Responsibilities:
Administrative Excellence:
  • Maintain New York State Water Resources Institute's (NYSWRI) administrative architecture, utilizing task management software to streamline operations.
  • Handle telephone calls and email inquiries with professionalism, directing them appropriately.
  • Establish and maintain a robust filing system and WRI server database for efficient information retrieval.
  • Independently answer questions, serving as a reference for stakeholders on NYSWRI structure and programs.

Program Support:
  • Provide comprehensive support for NYSWRI programming, including organizing and administratively overseeing workshops and events.
  • Prepare standard correspondence and assist with statewide training sessions and conferences.
  • Assist in the administration of grants and contracts, collaborating with the NYSWRI Director to review and maintain budgets and project documentation.

Financial Management:
  • Handle travel expense receipts, invoices, and procurement card receipts, ensuring accuracy and timely submission to the business service center.
  • Utilize and design simple spreadsheets, assembling materials for financial reports.
  • Prepare expense estimates for program activities, maintaining program and budget data, and prepare expense reports.

This position is full-time (39 hours/week) and is located in Ithaca, New York. This is a one-year appointment with possible extension depending on available funding and performance.
Required Qualifications:

  • High School Diploma and 2+ years of experience in an administrative setting or an equivalent combination of education and relevant experience.
  • Proven record of providing administrative support.
  • Demonstrated record of successfully providing exceptional customer service.
  • Experience in handling confidential information with utmost discretion and integrity.
  • Excellent written and oral communication skills. Accuracy in spelling, grammar, proofreading, and editing materials.
  • Meticulous record-keeping and organization skills.
  • Must be able to work both independently and collaboratively to support the efforts of the overall project. Must be flexible and receptive to new ideas and approaches.
  • Ability to balance conflicting priorities, make informed decisions, determine tasks, organizational needs, and be initiative-taking in communicating and following up with staff.
  • Experience managing multiple projects, schedules, and priorities in a deadline-driven environment.
  • Demonstrated computer skills (word processing, spreadsheets, and databases).
  • Experience with report preparation and analysis.
  • Experience demonstrating sound judgment, creativity, research, and problem-solving skills.
  • Ability to communicate with tact and diplomacy with a wide range of internal and external constituencies. Ability to work in a multicultural environment.
  • Must be able to meet the travel requirements of the position and have reliable transportation as well as have and maintain a valid and unrestricted New York State driver's license.
  • Must be able to make day and occasional overnight trips.

Preferred Qualifications:
  • Proficiency in task and project management software (e.g., Monday.com).
  • Demonstrated interest in, or experience with, water resources and other environmental resource management issues is key.
