Silicon Valley International School is currently looking for a highly motivated Administrative Assistant and Office Manager to join our Willows Campus Team. The ideal candidate should be comfortable working in a school environment and possess excellent communication and interpersonal skills to handle students of different age groups ranging from 4 to 16 years old. The Administrative Assistant and Office Manager's primary role will be to provide administrative support to the Upper School and Early Years Principal(s). Under the supervision of the Middle School Principal, the successful candidate will provide support to the principal(s) in a wide range of office and school operations, coordinate and organize office activities, and coordinate the flow of communications and information for the Principal(s); provide support by planning, organizing, supervising and participating in the school office administrative operation; maintains confidentiality of sensitive and personal information; prepares and maintains a variety of records and reports related to assigned activities.
The salary range for this position is between $60,000 to $75,000 and is based on your relevant experience and education. This is a fully-benefited position that includes medical, dental, and vision coverage, as well as a 403(b) retirement plan. Primary Responsibilities
Performs diverse office-related managerial responsibilities as delegated by the Principal; coordinates and organizes office activities and coordinates the flow of communications and information for the Principal.
Handles routine issues and emergencies concerning employees and students, makes decisions independently or collaboratively, and recommends action as appropriate.
Compiles information and prepares and maintains a variety of records and reports related to assigned activities (i.e., monitoring employee absences list)
Maintains confidentiality of various aspects of school operations, including sensitive and personal information.
Performs a wide variety of secretarial work, including typing and word processing, proofreading, filing, recording information, and processing and distributing correspondence.
Provides training and work direction to assigned office personnel (i.e., receptionist) organizes and expedites the workflow of the school site, and offers guidance and direction to other school personnel as needed.
Updates absence and timesheet information for assigned personnel.
Serves as a major program information resource person and liaison between campus, division, and the business office, who will disseminate accurate and timely information and direction to students, parents, staff, and visitors.
In collaboration with the Executive Assistant to HoS, will assist in securing substitutes in order to ensure adequate coverage for the school site.
Prepares and submits purchase orders for all departments on campus and/or work orders as assigned; prepares reimbursement requests as needed
Reconcile credit card statements with receipts with a monthly average spending of $15,000
Composes correspondence independently or with general instruction on a wide range of subjects requiring knowledge of procedures and policies of the school
Assists with planning school events (i.e., field trips, community meals, school dances)as needed; arranges travel for assigned personnel as required.
Answers questions and resolves situations involving students, parents, the public, location staff, and District personnel through knowledge of school policies
Operates a variety of office equipment, including a copier, fax machine, two-way radio, computer, and assigned software.
Qualifications
A bachelor’s degree (in a related field) or a combination of education and relevant school experience
3 years of experience working in an office setting and supporting upper management
Knowledge of School operations, policies, and objectives
Excellent written and oral communication skills, capable of being understood by a diverse population, in addition to having proper telephone techniques and etiquette
Have excellent Interpersonal skills using tact, patience, and courtesy
Ability to perform a variety of clerical and secretarial duties
Assure smooth and efficient office operations
Ability to focus on work while experiencing interruptions
Work independently with little direction
