As an Administrative Assistant, you will work full-time, in-office performing a variety of administrative tasks and activities in support of our project teams (Child Support and Tax) located in Anchorage, AK. The ideal candidate will have corporate office administration experience and thrive in a fast-paced environment.
General
- Assist and provide support for team members to ensure they have the necessary resources and supplies to fulfill their roles effectively.
- Assist and provide support to team members for administrative and other project-related tasks. This may include scheduling meetings, taking meeting notes, compiling meeting minutes, completing miscellaneous tasks such as developing testing/training materials, printing/collating project documents, etc.
- Managing personal and business affairs for team members professionally and maintaining complete confidentiality.
- Researching and organizing complex activities, such as meetings, conferences, and social activities for one or more people.
- Researching and booking travel and accommodations.
- Researching activities available, community events, places to explore, etc. that team members can participate in during their time in Alaska.
- Communicating by phone and email with people inside and outside of the company in a professional manner.
- Building and maintaining effective relationships with vendors, employees, and clients.
- Act as the main contact for vendors. Manage vendor relationships by completing payments in a timely manner, coordinating event logistics, and communicating any event changes.
- Assist with new hires' onboarding based on project guidelines and procedures.
Office
- Regularly monitor inventory and order supplies for the office accordingly.
- Organize office supplies/items and maintain general cleanliness in common spaces throughout the office. This may include the break room, training spaces, meeting rooms, etc.
- Maintain and update the office phone list.
- Prepare for meetings by ensuring adequate seating is available, the technology needed is working properly, and beverages/food are available if applicable.
- Handle general mail pick up and drop off by ensuring labels are prepared correctly.
- Prepare FedEx shipments and arrange for pick up or drop off, including maintaining the FedEx mailing materials on site.
Special Events and Activities
- Coordinate and facilitate social outings and lunches as needed. This may include providing accurate directions to team members if the event is off-site, offering accommodations for special dietary restrictions, and preparing the event space.
- Coordinate community service and volunteer opportunities and communicate said opportunities to the project site members.
- Occasional work outside of standard work hours.
Employment Qualifications:
- Completed bachelor’s degree in business/public administration, finance/accounting, management, education, social science, or other field related to office management and administration.
- Equivalent experience will be accepted in place of the required degree.
- Proficiency in Microsoft Office products, including Word, Excel, and PowerPoint.
- Strong organizational skills.
- Excellent written and verbal communication skills.
- Ability to multi-task independently.
- Have valid driver's license and use of a personal vehicle to run errands off-site, as needed.
