Central Oregon Collective is currently offering a rare opportunity to join our team as an Administrative Assistant.
The position of Administrative Assistant is an intermediate administrative position with required knowledge and experience in administrative, clerical and office duties. Working within the Mission, Vision, and Core Values of Central Oregon Collective and under limited supervision, the Administrative Assistant provides assistance to the In Home Support Manager, Executive Director, Program Director and Director of Human Resources with administrative support. The Administrative Assistant is expected to treat all clients and staff with the highest level of dignity and respect. Company policies and State OAR's must be followed. The Administrative Assistant must have relevant Administrative experience, have strong people skills, creative problem-solving skills, the ability to make sound judgement calls and is flexible and willing.
ESSENTIAL JOB RESPONSIBILITIES
Responsibilities include providing Administrative support and assistance which may include, but are not limited to the following:
- Filing, photocopying and printing
- Assist with month end reporting and billing
- Make, organize and maintain client and employee files
- Sort and distribute mail
- Research issues
- Handle assigned projects
- Assist with Rep Payee Services
- Monitor and use our current communications tools such as Therap for secure communications and Outlook email for non-secure communications
- Complete monthly compliance reporting
- Work cooperatively and effectively with all staff
- Maintain a positive, welcoming and inclusive attitude towards all clients, employees and community

MINIMUM QUALIFICATIONS
- Word & Excel
- Typing proficiency of 40+wpm
- 10-Key by touch
- Possess knowledge of basic letter writing and structure
- Pass Criminal History Background Check, and pre-employment drug screening
- Be 18 years of age or older
- Possess a valid Oregon Driver License or State issued ID
- Must have proof of car insurance and current registration and must be insurable by COC's auto insurance carrier to drive agency vehicles
SKILLS & ABILITIES
- Ability to work with or learn various software programs
- Ability to design and edit forms
- Possess good spelling, punctuation and proofreading skills
- Ability to multi-task and pay attention to detail in a busy environment with interruptions
- Ability to maintain a professional manner in stressful situations
- Lead by example, participate, coordinate and cooperate with your team members and all other COC employees and community partners
- Ability to maintain client, employee and agency confidentiality
- Exercise sound judgement
- Detail oriented, self-motivated and self-directed
- Strong public relation skills, ability to work with a team, the general public, people with disabilities, and community vendors
- Must be able to follow directions, both written and verbal
- Must be able to put in 40 hours per week
PHYSICAL DEMANDS
Must have the ability to meet the following physical demands:
- Be able to lift a minimum of 25 lbs.
- Must be physically able to sit and use a computer for up to eight hours a day
- Be able to listen and communicate effectively
TRAINING AND CERTIFICATION
- Certification in CPR and First Aid (every 2 years)
- Certification in Oregon Intervention System (OIS) (every 2 years)
- All other trainings as required by COC policies and administration
