About the Role
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will support the Director of Mechanical Operations and the shop mechanics staff. As an Administrative Assistant, you will play a crucial role in supporting our office operations and ensuring smooth day-to-day activities.
Responsibilities:
- Assist team members with timecard reporting (Kronos,ADP or HRIS)
- Answer and direct phone calls in a professional manner
- Greet visitors and direct them to the appropriate person or department
- Manage calendars and schedule appointments
- Coordinate meetings, conferences, and events
- Assist with project coordination and follow-up tasks
- Perform general clerical duties, such as data entry, filing, and excel and word documents
- Maintain office supplies inventory and place orders when necessary
- Handle incoming and outgoing mail and packages
- Assist with travel arrangements for staff members
Experience:
- Previous experience working in an office or administrative role preferred
- Familiarity with phone systems and front desk operations
- Knowledge of calendar management and scheduling software
- Experience in clerical tasks such as data entry and word documents and excel spreadsheets
- Previous experience in a medical or dental office setting is a plus
- Strong organizational skills with the ability to multitask and prioritize tasks
- Excellent communication skills, both written and verbal
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to maintain confidentiality of sensitive information
