QUALIFICATIONS:
- Minimum of Associates Degree and three years’ relevant work experience.
- Excellent administrative skills and experience, including computer, keyboarding, and filing. Proficiency in Microsoft Office Word, Excel and PowerPoint required.
- Composing, typing, and proofing materials, establishing priorities and meeting deadlines.
- Ability to work in a fast-paced environment with demonstrated ability to manage multiple competing tasks and demands.
- Professional communication and interpersonal skills. Good grammar, voice and diction. Ability to handle sensitive and confidential situations with demonstrated poise, tact and diplomacy.
- Ability to interface well with all Agency employees, and individuals served.
- Ability to represent the Agency in a highly professional manner.
ESSENTIAL RESPONSIBILITIES:
Oversee and perform administrative functions in support of the Chief Compliance Officer and Corporate Compliance department. Responsible for maintaining Agency training files.
- Be familiar with all Agency policies and procedures, with general knowledge of Corporate Compliance and Quality Assurance.
- Coordinate Orientation scheduling and preparation of materials. Ensure that staff presenting at orientation are in attendance including any back up presenters.
- Create and maintain database and spreadsheet files as requested including (training, orientation attendance and satisfaction survey, and corporate compliance monthly reports). Data including entry of data into the Litmos training database and ADP HRIS (for trainings only).
- Be responsible for maintaining a calendar and tickler system for various meetings, orientation(s), trainings and required paperwork including meeting minutes as assigned.
- Assist with the coordination of incident documentation, reporting and filing.
- Routine Administrative Assistant tasks including: send and distribute faxes, make copies, order office supplies and maintain supply cabinet, for the Corporate Compliance.
- Type and design general correspondences, memos, emails, charts, tables, graphs, etc. Prepare confidential correspondences, reports, and other documents. Perform confidential Administrative Assistant functions.
- Work independently and within a team on special, nonrecurring, and ongoing projects at the request of the Corporate Compliance Officer and Director of QA.
- Maintenance and organization of the Corporate Compliance/Quality Assurance Agency shared file.
- Coordinate record retention and destruction of Agency records, according to Agency policy.
- Manage departmental mail for Corporate Compliance and QA department that include picking up, sorting, and delivering in-coming and outgoing mail.
- Maintain confidentiality of all Agency, Corporate Compliance, Quality Assurance matters.
- Adhere to all Agency and Corporate Compliance policies.
- Perform any other related duties as directed by the Corporate Compliance Officer or Director of QA and/or designee.

Pay: $20.00 - $24.00 per hour
