The Administrative & Data Assistantprovides secretarial, Administrative and Data entry and reporting support to the Center of Care Coordination-So Tier. The Administrative & Data Assistant reports directly to the AVP of Care Coordination-So Tier who, in concert with the Vice President, shall determine the responsibilities of the position. These responsibilities may be revised, as necessary, with proper notification and training provided, where appropriate.
As part of the Essential Functions for this role, the Administrative & Data Assistant.
- Provides customer service to patients and visitors, on the telephone and in person, processes mail in conjunction with other administration staff.
- Screens telephone calls and responds to those inquiries that do not require the attention of other staff. Refers calls to voicemail or other staff as required. Also in conjunction with other administration staff.
- Assists AVP of Care Coordination-So Tier in developing and implementing improvements in general office systems and procedures, ensuring consistency and efficiency.
- Maintains various systems for timely and accurate data entry into the Health Home Database, Netsmart, Tiger Connect, and Medent. This maintenance includes, new patient enrollments, patient updates (ie: change of Care Coordinator; addresses and telephone numbers; Health and Recovery Plans (HARP), Diligent Search Efforts (DSE), Excluded Setting, Homelessness statuses.
- Ensures that data is entered accurately and in a timely manner for monthly, quarterly and annual reports.
- Provides administrative data assistance to the AVP of Care Coordination-So Tier and Center Directors as requested or required.
- Assists AVP of Care Coordination-So Tier with the use of data for continuous program improvement and feedback.
- Researches, creates, inputs, formats, organizes and edits relevant data as needed or requested.
- Appropriately maintains and secures confidential records and inquiries.
- Maintains supply orders for the Center of Care Coordination-So Tier.
- Prepares correspondence as requested.
- Assists the AVP of Care Coordination-So Tier with all aspects of preparing for meetings and/or special events.
- Attends monthly Southern Tier Full Staff meeting.
- Attends monthly Southern Tier Care Coordination meeting.
- Other duties as requested.
Qualified Candidate will have an Associate's degree in Secretarial Science and two (2) years of experience as a secretary, receptionist or other clerical position preferably in non-profit setting or equivalent combination of training and experience. Demonstrate an awareness of and sensitivity to the issues that underserved populations, people living with HIV and people who use drugs face, including health disparities that affect people of color at a disproportionate rate.
Candidate must have a valid NYS Driver’s License and an insured, dependable car.

Required education: Associates degree in health in Secretarial Science.
