BL Companies is seeking an enthusiastic and detail-oriented Administrative Assistant to join our corporate team. The successful candidate will play a crucial role in supporting marketing and business development efforts by coordinating registrations for events, managing meeting and event logistics, assisting with proposal preparation, and handling various administrative tasks within the overall corporate area.
This position requires a detail-oriented, deadline-driven individual who is proactive, self-motivated, and approachable. The ability to work effectively in a team environment and prioritize tasks is essential.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Coordinate registrations and payment of marketing and business development events, including trade shows, sponsorships, expositions, and conferences.
In office coordination of supplies needed for trade show exhibits and events and attend/set up as required.
Update the marketing information database (Workload & CRM) to reflect changes in signed contracts, targets, events and sponsorships.
Update information on the intranet and in Deltek Vantagepoint.
Handle reconciliation of monthly receipts for the marketing department.
Support marketing team with the preparation of proposal and qualification responses, including formatting, printing, collating, binding and delivery.
Assist with keeping marketing components, images and templates on the network up to date for collaborative use in the proposal and presentation process.
Update and track resumes and headshot images of personnel.
Maintain promotional item inventory.
Other duties may be assigned.
Required
High school diploma or a GED certificate, with some technology and business classes. Preferably an associate degree or a bachelor’s degree
Proficiency in Microsoft Office products is a must and familiarity with WordPress and Adobe Creative Suite, particularly InDesign, is a plus
Excellent organizational and communication skills
Must be able to work in the office Monday-Friday
