The Department of Children, Youth, and Families (DCYF) is accepting applications for an Administrative Assistant 4 to provide administrative and confidential secretarial support to the Regional Administrator for the Juvenile Rehabilitation (JR) Community Reentry and Parole program.

Working in a Juvenile Rehabilitation Regional Parole Office, you will directly support the Juvenile Rehabilitation (JR) - Regional Administrator, and supervise clerical support staff and coordinate clerical services. Some of what you'll do:
- Provide sole confidential administrative support to the Regional Administrator.
- Assist in development of office processes; maintain calendars; schedule, arrange, and confirm meetings.
- Take and distribute meeting minutes, proofread documents and correct sentence structure, spelling, grammar, and punctuation, compose and prepare documents for mailing.
- Monitor and ensure adherence to Background check requirements established by administration. Act as a liaison between human resources, regional management and staff as needed.
- Manage, supervise, and direct staff within a master agreement environment.
- Model professional standards of conduct and enforce state standards for ethics and use of state resources.
- Conduct timely employee evaluations considering performance in relation to the knowledge, skills and abilities required for the job.
- Assess need and ensure employees receive training to accomplish duties of position and for ongoing development.
- Coach, mentor, motivate, and model effective performance; address employee performance issues and initiate disciplinary procedures for just cause; facilitate informal conflict resolution related to employee grievances.
- Prioritize, plan, and assign work to meet internal and external deadlines.
- Provide oversight for the five Community Facility Administrative Assistants throughout Regions 5 and 6. Assist, coordinate and act as liaison between Human Resources, regional management as well as all regional staff.
- Manage monthly incoming billing statements for both office and JR Contracts.
- Archive records in accordance with retention schedules.
- Review, redact, verify, and complete all Public Disclosure requests for the Tacoma office.
- Process, monitor, and schedule, travel arrangements and recordkeeping.
What we are looking for:
Professionals with a High School Diploma/GED, AND four years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
In addition to those required qualifications, our ideal applicant will also have some or all of the following skills and/or abilities:
- Previous demonstrated work experience in a highly accountable and measured performance environment.
- Previous demonstrated work experience as an Administrative Assistant or secretary within a Juvenile Rehabilitation facility and/or residence.
- Prior experience and ability participating in a cohesive and collaborative team environment.
- Prior experience supervising one or more employees.
