Northrop Grumman - Marine Systems is seeking an Administrative Assistant 3 to join our team of qualified, diverse individuals located in Cape Canaveral, Florida.
What You'll get to Do:
The Administrative Assistant will be reporting to the Site Manager and function under minimal supervision to provide a full spectrum of administrative support to the site. The selected candidate should thrive in a fast-paced work environment with high expectations, significantly diverse assignments, and collaborative/team settings across all levels.
Position responsibilities include but are not limited to:
Communicate with internal and external customers and management, professionally representing the company and organization
Organize and execute internal and external meetings, including conference room reservations, catering requests, publishing agendas, and following up on action items
Assist with orchestrating site events and activities
Proactively manage and prioritize calendars for assigned staff
Support facility security processes such as coordinating facility visit and badging requests, overseeing security clearance processing for site personnel, and participating in assigned security meetings
Coordinate travel arrangements for international and domestic travel, prepare expense reports, and maintain pertinent travel documentation
Respond to a wide variety of employee requests
Receive, sort, and distribute incoming mail and facilitate outgoing mailings
Keep inventory of office supplies and re-stock as needed
Provide departmental IT support including submitting tickets on behalf of team, setting up team cell phones, and maintaining printers
Maintain departmental rosters, seating charts, and organizational charts
Provide back-up support for other administrative staff as needed
Basic Qualifications:
High School Diploma or equivalent with a minimum of 4 years of related experience
Demonstrated proficiency in utilizing Microsoft Office 365 (Word, Excel, Outlook, Teams, and PowerPoint)
Ability to obtain and maintain a DoD Secret clearance
Preferred Qualifications:
Current Secret clearance or higher
Experience with travel and expense reporting systems (Concur or similar)
Demonstrated ability to be collaborative, proactive, self-motivated, well-organized, detail oriented, and assertive as necessary and able to execute projects and tasks independently
Experience with SharePoint
Salary Range: $45,800 - $73,600
