We are seeking a detail-oriented and organized Administrative Assistant to join our team. In this role, you will play a key part in ensuring our projects run smoothly by managing and coordinating project documents. Responsibilities
- Execute job set up using Corporate ERP systems.
- Review and communicate discrepancies in job contract related documents to the Department Manager.
- Coordinate, manage, and electronically file all project correspondence/documents, including emails, RFI’s, shop drawings/submittals, letters, memos, and meeting minutes in accordance with company policy and procedures.
- Assist Project Manager with submittals, drawings, project controls, client communication, production and cost tracking.
- Handle monthly job billing, both AIA and non-AIA projects, in coordination with the Project Manager.
Qualifications
- Experience with Corporate ERP systems is preferred.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to manage and coordinate multiple projects and tasks simultaneously.
- Experience with AIA and non-AIA project billing is a plus.
