We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will be responsible for providing in-office support and ensuring the smooth operation of our daily administrative activities.
Job description
· Answering and directing phone calls in a professional and courteous manner
· Assisting with calendar management and scheduling appointments
· Performing data entry tasks accurately and efficiently
· Providing general clerical support such as printing, photocopying, scanning, and mailing
· Collaborating with other team members to ensure effective communication and workflow.
· Set up / Maintain Office files – Listing, Buyers, Contract Files and administrative.
· Set up Weekly Open House’s for listings.
· Compile and send out Seller Weekly Report Packet.
· Type Buyer / Seller / Lease Packets as needed.
· Prepare Basic Market Analysis for Agent as needed.
· Maintain Active/Sales/Pending/Incoming Board
· Maintain customer Databases.
· Maintain system for tax exempt yearly mailing to clients.
· Coordinate monthly promotional materials.
· Coordinate mailing of monthly birthday cards.
· Update Referral Maker incoming, Pending, Leases, Sales bi-weekly meeting.
· Post to Social Media Sites.
· Sort Mail for the office.
· Track all passwords for systems.
· Order supplies for office.
· Track leads to Agents and Vendors.
· Close the office for the night.
· This is an in-office position - maintaining the assigned work schedule is important.
· Must be able to work in a fast-paced environment.
· Quick to learn other Realtor based systems. (NTREIS, ShowingTime and Lofty)
· Other responsibilities as assigned by your supervisor.
Skills:
· To excel in this role, you should have strong organizational skills, excellent phone etiquette, and the ability to multitask effectively.
· Proven minimum (3 years) experience in an administrative or clerical role.
· Proficient in using office software such as Microsoft Office Suite. (Advanced Word, Excel, intermediate PowerPoint)
· Strong attention to detail and accuracy in data entry.
· Excellent verbal and written communication skills.
· Ability to prioritize tasks and manage time effectively.
· Familiarity with calendar management tools.
· Knowledge of basic office procedures and equipment.
· Some knowledge of the Real Estate business is a plus.
Additional Benefits:
· 35 Hour work week - require overtime some during busy seasonal sales trends up to 40 hours MAX – 2 -4 hours a couple times a year on weekend for our fun filled client events. (notice provided)

· After a 90-day probational period, employees are eligible for paid holidays per year.
· After 6 months, vacation will start to accrue – up to 6 days paid per year. (You can take up to an additional 10 days unpaid.) Increases to 12 days paid vacation after 2 years.
