The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for the position of Full-time Permanent Administrative Assistant 3 at WCCW, located in Gig Harbor, WA. This position provides support to the Correctional Captain at Washington Corrections Center for Women.

AGENCY PROFILE:
The Department of Corrections, as a partner in the criminal justice system, enhances public safety, administers criminal sanctions and programs in accordance with the law, and provides leadership for the future of corrections in Washington State. The Department consists of the Office of the Secretary, Prisons Division, Community Corrections Division, Administrative Services Division, and Health Services. The Department employs over 7,600 staff and has a biennial budget of approximately $1.6 billion.
WASHINGTON CORRECTIONS CENTER FOR WOMEN is a 62.6-acre facility located approximately two miles from Gig Harbor. The site includes living units, administration buildings, a health clinic, education buildings, a gymnasium, a chapel, industries buildings, food service buildings, and support facilities.
Whether the work is inside a prison, in community corrections, or in an administrative office, the Washington State Department of Corrections professional staff experience a high degree of personal satisfaction knowing they are creating environments in which all incarcerated individuals can learn to make choices that contribute to a safer society.
Duties
Perform delegated, confidential administrative office management and secretarial functions for the Correctional Captain and Management under their direct supervision
  • Prioritize complex assignments and projects tasked by the Captain
  • Tracks routine staffing actions for the Captain's Office such as non-permanent assignments, reassignment, recruitment, selection and appointment documents
  • Conducts and/or responds to public disclosure requests, surveys, and studies
  • Serves as a liaison between supervisors and other staff, relays assignments and requests status information
  • Keep Captain informed of any significant or important items requiring their immediate attention
  • Work independently on complex assignments that require knowledge of regulations, policies, procedures, processes and materials
  • Develop and monitor tracking and accountability of security inspection reports, search reports, and emergency management planning assignments
  • Track and log drills, mandatory overtime, custody rosters, shields, incident reports, and TIRs
Delegated responsibility to manage the multiple program activities to include the Institution Limited English Proficiency (LEP) Coordinator and oversee the return of uniforms/equipment from departing employees. Independently collects and analyzes data and prepares reports and correspondence in support of assigned LEP and custody uniform/equipment oversight
Works closely with facility managers to develop the Institution's Operational Memorandums that fall under the supervision of the Captain
Qualifications
Required Qualifications:
  • High School education or GED, equivalent
AND
  • Three years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work.
NOTE:
Formal education and/or training in office management will substitute year-for-year for experience.
  • Applicants for this position should have excellent administrative skills and be able to use independent judgment to accomplish assignment or solve problems.
  • Knowledge of multiple software programs used to accomplish daily tasks.
Preferred/Desired Qualifications:
  • 1 year experience using Offender Management Network Information (OMNI)
  • 1 year experience using Resource Program Management (RPM)
  • Accurately type at least 50 words per minute

Insurance Benefits

Retirement and Deferred Compensation

Employees also have the ability to participate in the Deferred Compensation Program (DCP). This is a supplemental retirement savings program (similar to an IRA) that allows you control over the amount of pre-tax salary dollars you defer as well as the flexibility to choose between multiple investment options.
Social Security
All state employees are covered by the federal Social Security and Medicare systems. The state and the employee pay an equal amount into the system.
Public Service Loan Forgiveness

Holidays
Full-time and part-time employees are entitled to paid holidays and one paid personal holiday per calendar year.
Note: Employees who are members of certain Unions may be entitled to additional personal leave day(s), please refer to position specific Collective Bargaining Agreements for more information.
Full-time employees who work full monthly schedules qualify for holiday compensation if they are employed before the holiday and are in pay status for at least 80 nonovertime hours during the month of the holiday; or for the entire work shift preceding the holiday.
Part-time employees who are in pay status during the month of the holiday qualify for the holiday on a pro-rata basis. Compensation for holidays (including personal holiday) will be proportionate to the number of hours in pay status in the month to that required for full-time employment, excluding all holiday hours. Pay status includes hours worked and time on paid leave.
