AR / Billing Specialist job duties include, but are not limited to:
· Prepare billing based on billing cycles.
· Coordinate billing activities with various departments.
· Collect all the required documents for services provided.
· Generate timely billings according to the customer’s specific time frame.
· Maintain accurate billing documentation / support for audit process.
· Respond timely to inquiries from customers.
· Maintain Accounts Receivable customer files and records.
· Meet accounting deadlines for month-end process and closing cycles.
· Perform reconciliations as required.
· Perform data entry / change order functions within accounting system including job budgets.
· Monitor Accounts Receivable and notify managers if there are issues with unpaid invoices by customers.
· Reconcile company invoices with Accounts Payable and generate invoices.
· Assist with any month-end closing items as required.
· Generate reports / spreadsheets for project managers related to billing and account activity. This includes monthly billability report, project billing history, time, and cost detail.
· Provide follow-up to project managers and / or clients regarding aged Accounts Receivable.
Experience:
- A minimum of 4 years of billing experience or an equivalent education and experience combination.
- Experience with billing of Commercial / Industrial customers required.
- Construction billing experience preferred, not required.
Other Requirements, Knowledge, or Abilities:
· Must demonstrate basic to intermediate skills in Microsoft Word and intermediate to advanced proficiency in Excel, Outlook, and email.
· Must be able to generate, create, and analyze reports.
· Must be detail oriented and extremely accurate.
· Must have ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
· Must have ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
· Must have ability to deal with problems involving several concrete variable in standardized situations.
· Must demonstrate ability to work in team environment and willingness to assume additional or new responsibilities readily.
· Uses initiative in carrying out recurring assignments.
- Effective oral and written communication skills, good vocabulary, good grammar, and the ability to independently compose routine written communications.
- Must be able to pass both a drug screening and background verification.
